The Role You’ll play a central role in daily administrative operations associated to the managing director including management of diary, expenses and travel. In addition to this, you will be lightly responsible for office cleanliness and organisation / support for events. Working closely with the Brisbane team, you’ll be trusted to keep the office running smoothly by: Managing diary for the Managing Director; Coordinating international travel, including airlines and accommodation bookings, building relationships with hotels and negotiating corporate hotel rates; Managing expenses for the Managing Director; Managing expenses and invoices, including FX contracts, credit card payments, and AP / AR support; Maintaining various registers (office access cards, staff contact details register, etc.); Organising events / functions / catering as required; Assisting with staff onboarding & exit procedures; Responsible for general office tidiness – dishwasher and kitchen; Pick up mail and manage stationary for the office; and Filing and scanning (electronic) for one full day per week. About You Must have demonstrated experience working as an Office Coordinator (or similar role) for executive support; Intermediate skills with Microsoft platforms (Word and Excel); Must be confident working in a dynamic team environment and demonstrate resilience; Proactive, organised and confident working autonomously; and Strong written and verbal communication skills.
