We have an opportunity for full time employment for the role of Program or Project Administrator at our Melbourne Office. This will suit someone with proven experience in similar role and looking further to expand their professional experience. About the role Full time work (37.5 hours per week) Monday to Friday Salary $75,000.00 to $85,000.00 plus 12% superannuation What We Offer Competitive salary and benefits Job stability and long-term career development A collaborative and supportive work environment Opportunities for personal and professional growth Responsibilities/Duties : Coordinate and track project activities across multiple teams, including design, logistics, and procurement, to ensure timely delivery of project milestones. Maintain project schedules, timelines, and task trackers using standard project management tools. Monitor supplier deliveries, product assembly schedules, and customer dispatch timelines to minimise delays. Prepare, update, and distribute internal reports on project progress, key deadlines, and risks. Maintain accurate project documentation, including quotes, contracts, drawings, change requests, and approvals. Assist with purchase order creation, supplier follow-ups, and invoice reconciliation in line with budgeted costs. Organise and document project meetings, take minutes, and follow up on assigned actions. Act as a communication bridge between sales, operations, warehouse, and logistics staff to coordinate project implementation. Ensure compliance with internal quality control procedures and external safety or installation requirements. Record any issues or delays and escalate to management when resolution is needed. Support end-of-project reviews by collecting feedback and maintaining lessons-learned documentation. Skills & Experience Minimum qualification : AQF Associate Degree, Advanced Diploma or Diploma ( ANZSCO Skill Level 2 ). At least 3 years of relevant work experience in project or program administration. Excellent organisational skills and attention to detail. Strong communication and problem-solving abilities. Ability to work effectively in a team and autonomously. Proven ability to manage multiple projects simultaneously. Proficiency in project management tools and software. Strong analytical and reporting skills.
