About the Role The Governance Administration Officer plays a pivotal role in supporting the smooth operation of Board and Committee functions, maintaining confidentiality, and supporting high standards of governance. You will be responsible for coordinating meetings, preparing documentation, recording minutes, and supporting directors with administrative needs. We are seeking a highly organised and proactive Governance Administration Officer to provide efficient governance, compliance, and administrative support to the Company Secretary and Boards across the Good Shepherd Australian and New Zealand network. This is a 0.6 FTE 3-year appointment until 2028. Flexibility available – school hours or 3 days full time. On occasion, availability to attend out of hours online meetings required. Key Responsibilities Coordinate administrative and compliance support for Boards, Committees, and Working Groups. Assist with scheduling, agendas, meeting logistics, and timely distribution of papers. Accurately record and finalise minutes for Board and Committee meetings. Maintain workplans, action registers, and follow up on outstanding items. Provide administrative support to directors including travel, reimbursements, and queries. Organise induction and professional development for directors. Maintain governance registers and ensure compliance with ACNC, ASIC, and other regulators. Support development and implementation of governance policies and procedures. Flexibility to attend online meetings that on occasion fall outside of Australian business hours. About You You are a detail-oriented professional with a passion for governance and excellence in administration. You thrive in a collaborative environment and are confident managing sensitive information with discretion. Qualifications & Experience Essential: Experience using Board portals (e.g., Diligent). Proven ability to manage confidential information. Experience in a similar governance role in NFP or private sector. Flexibility to attend meetings outside standard Australian business hours. Desirable: Governance Institute of Australia training, including minute-taking, meeting procedures. Experience in a faith-based organisation. Understanding of ACNC Governance Standards. Key Selection Criteria Demonstrated experience in governance support roles. Knowledge of meeting laws and procedures, including quorum and voting. Exceptional minute-taking and documentation skills. Ability to capture meeting actions and support governance processes effectively. Ability to manage competing priorities and meet deadlines. Advanced proficiency in Microsoft Office. Strong interpersonal and communication skills.
