We are seeking to appoint an organised, creative and detail-oriented individual to join Mount Annan Christian College as our Events & CAPA Coordinator. Forming part of the Operations team at the College, the Events & CAPA Coordinator is responsible for the effective coordination and delivery of College events and co-curricular activities throughout the year, ensuring smooth operations and a positive experience for all stakeholders. This dynamic role is divided into two key areas: Event Management and Tuition Program Administration. In the Event Management component, you’ll take the lead in planning, coordinating, and delivering a wide range of College events—from school photo days and fundraising activities to Grandparents Day, award presentations, and Christmas Carols. In the Tuition Program Administration component, you will be the main point of contact, responsible for overseeing the day-to-day coordination and smooth operation of the College’s Music Tuition program. This role will see you responsible for: Overseeing the end-to-end planning, coordination and delivery of College functions and events including gathering detailed briefs from key stakeholders and establishing systems and checklists to ensure smooth operations Arranging venues for events Engaging and managing suppliers and subcontractors as required Sourcing materials and décor for themed events Overseeing all logistical elements before, during and after events Managing onsite coordination of staff, suppliers and subcontractors during events Evaluating events to identify areas for improvement and future enhancement Organising and scheduling birthday buggy rides for students Managing and updating event schedules using Monday.com Coordinating and maintaining accurate timetables for students participating in the tuition program Managing student enrolments, including processing new applications and scheduling sessions accordingly Communicating with tutors to confirm schedules, attendance and student progress Liaising with the Finance department to ensure accurate and timely billing of tuition services Distributing student progress reports and feedback to parents in accordance with reporting timelines Assisting in the coordination of room bookings and resource allocation Coordination of Duke of Edinburgh administration More specifically, the successful candidate will have: Highly developed time management skills with the ability to work simultaneously on multiple projects with conflicting timelines Exceptional organisation and planning skills Ability to work well under pressure Highly developed communication skills; both verbal and written Strong attention to detail Certificate or Diploma in Event Management Minimum 3 years working in an office environment Experience with Microsoft Office, particularly in Excel, as well as Sentral, Monday.com , Clipboard and Adobe Acrobat (desirable) Applicants must be committed Christians with an active involvement in a local church.
