Description About the Role We’re seeking a proactive and detail-oriented Terminal Support Officer to deliver high-level administrative support across key operational and engineering functions. This position plays a vital role in coordinating day-to-day processes, document control, procurement, reporting, and terminal-related projects. Your ability to manage competing priorities, adapt to fast-paced operations, and build strong stakeholder relationships will be critical to your success. Key Accountabilities Perform administrative duties including document control, record keeping, scanning, and courier coordination. Create and manage purchase requisitions and orders in Oracle and Maximo systems. Assist with the onboarding of new hires, arranging site access, PPE, and workstations. Maintain SharePoint document control and generate reports using Excel and Visio. Support key leaders with site visit coordination, stakeholder communications, and event logistics. Contribute to engineering and operations reporting, including daily KPIs and monthly submissions. Support safety, HR, engineering, and operational teams in project documentation and compliance. Uphold strong customer service standards across internal and external stakeholder interactions. Qualifications, Skills and Experience Minimum 3 years' experience in an administrative support or terminal operations role (preferred). Strong Microsoft Office skills with demonstrated Excel, Outlook, and Visio proficiency. Experience with CMMS (e.g., Maximo) and procurement platforms (e.g., Oracle) highly regarded. Ability to prepare reports, manage workflows, and maintain accurate documentation. Knowledge of purchasing, receiving, and invoicing processes. Well-developed verbal and written communication with a customer service focus. Proven ability to multitask and prioritise in a fast-paced environment. Familiarity with port or heavy industry operations is desirable.
