We are seeking an enthusiastic and highly experienced executive assistant to provide high-level administrative support to the Managing Director (MD) and broader Defence Housing Australia (DHA) leadership team. The Executive Assistant to the Managing Director has responsibility for providing comprehensive administrative and executive support to the Managing Director Officer and demonstrate leadership and collaborative working across the executive support team. In this role, you will work under limited supervision to anticipate and manage the requirements of the MD, supporting the organisation in meeting its strategic and operational objectives. You will actively assist with managing the MD's time effectively, including organising complex schedules, calendar items, coordination of travel as well as be responsible for a range of operational tasks. This position would suit a highly experienced professional and reliable self-starter who possesses a high level of integrity and a proven track record of working well as a member of an Executive Support team. This position requires a person that is organised, adaptable to change, possesses the ability to prioritise and multi-task, displays a high level of accuracy and attention to detail, excellent interpersonal skills and the ability to liaise with important stakeholders including the Ministers offices, Portfolio Executive, Senior Executive Service (SES) from the wider Australian Public Service (APS), and stakeholder groups. The key duties of the position include The duties of the Executive Assistant will vary according to the needs of the organisation as informed by the Managing Director. The Executive Assistant will have an in-depth understanding of the DHA corporate strategy and future direction to assist the Managing Director meet priorities and achieve the required organisational outcomes. The EA to the MD will broadly be responsible for: Managing the office of the Managing Director, including work schedules and all aspects associated with it, prioritising the Executive's time and drawing attention to matters of priority. Working collaboratively across the broader DHA Executive Support team to deliver outcomes for the executive leadership of the agency. Managing all correspondence in and out of the office, including prioritising and monitoring, to ensure that it is managed appropriately, and deadlines are met. Working collaboratively as a key member of the Executive Support team and in partnership across business areas and staff to assist with the management and operations of the agency. Maintaining the office of the Managing Director and surrounding area at a professional standard, including working collaboratively with the executive assistants to manage an effective reception function and referring facilities maintenance issues to the agency's outsourced provider. Acting as the first point of contact for the Executive office and providing a high level of service to external parties. Coordinating meetings with staff and stakeholders and ensuring the Executive has all required information for meetings. Coordinating domestic and international travel and accommodation for the Executive. Reconciliation and maintenance of Executive travel and credit card accounts and related cost centres. Supporting the Executive Support team with the coordination of ministerial and parliamentary requests as well as reports, submissions and briefs. Filing records in accordance with Commonwealth Government requirements for records management processes and security, including management and maintenance of document recording systems. Providing secretariat support for meetings (as required). Adhere to the APS Values and Code of Conduct at all times. Demonstrate capability in line with the Integrated Leadership System (ILS) and Work Level Standards at the APS 6 level Ability to handle sensitive information and maintain confidentiality at all times. Comply with all relevant legislation including Defence Housing Australia health and safety policies, procedures and instructions and Defence Housing Australia's Information and Communications Technology and Information Governance Framework.
