Some travel is expected to satellite locations at The Mount and Wembley locations. 38 hrs/week, 5 days/week overtime Immediate start Friendly and supportive team environment Our clients are a multidisciplinary specialist practice of surgeons offering advice and treatments across the full range of spine and brain conditions. The surgeons are supported by other medical specialists, allied health providers and administration staff. The successful candidate will be able to demonstrate the criteria below:- Selection Criteria - Essential Previous experience or skills in a medical administration including coordinating doctor schedules, bookings and clinics and providing a PA service to doctors Previous experience in computerised billing and receipting. An ability to work effectively both independently, in a team and within wider systems. An ability to carefully plan, organise and prioritise tasks according to stakeholder needs An understanding of customer service principles with an ability respond sensitively to patient needs. Ability to work under pressure and respond to fluctuating workflow and internal /external demands Ability to follow direction; accept feedback; learn new tasks and adapt to change. Proficient in Genie Solutions and Microsoft Office Responsiveness to patients and referrers Be part of multidiscipline team to achieve individualised patient services of the highest quality. Respond to referrers and resolve issues and provide a prompt service in line with expectations Work with colleagues and other administrative staff to achieve efficient and effective management of medical records and clinical information throughout the Practice. Secretarial Duties Paperwork: Management of all documentation generated from the doctor/patient interface. To provide a high standard of patient record care. To oversee and ensure typing and distribution of letters and other documentation is completed within timeframes acceptable to doctors. Bookings: Understand the needs of the doctors and the practice with regards to diary management. Efficient management patient bookings and lists to create opportunities and minimise waitlists. To provide a high standard of customer service to patients, referring doctors and internal stakeholders. Prepare and make available all clinical and patient information required for the clinic Receiving of patients and coordination of doctor clinics Ensure that all appointments are re-confirmed with patients ahead of their scheduled appointment. Billing and receipting of patient payments at the time of clinics Coordinating and arranging clinics across all sites Collation of reports and notes from other hospitals Filing of correspondence in patient notes Booking of tests and other investigations and requested Liaison with patients regarding hospital admissions, follow up appointments and general enquiries Liaison with solicitors and insurance companies regarding medical reports Answering telephone calls and diverting calls Reading and sorting of mail and providing appropriate files with letters concerning patients Oversight of Dictaphone and copy typing of doctor correspondence including letters, test reports, operation reports and general correspondence. Sound understanding of medical terminology. Financial Management: To understand and manage cash flow (payment at time of consult, debtors, banking). Review of clinic lists to ensure that all referrals have been received and that accounts are billed and receipted on the day of consultation. Coordination of EFTPOS payments, settlements, bank reconciliations and banking functions in consulting with management. Inpatient accounts including submissions to Health Funds and other third-party payers. Receipting accounts from incoming mail. Proactive management of debtors. General: Screening of patient calls. Arranging meetings. Liaison with referrers and other medical staff in regard to admission of patients to hospital. Organising procedure lists, start times etc. Assist other team members with tasks as required. Participate in the identification and implementation of service improvement initiatives. Liaising with management if any adjustments of efforts within a day are needed to meet practice demands. Collegiality Liaise with other staff to maintain a happy, efficient and productive team. Attend and participate at staff meeting with colleagues. Advise management of potential new recruits. Liaise with all other members of staff.
