Position Summary:
We are seeking a highly organized, detail-oriented Construction Program Manager to oversee the administration and execution of a large-scale remediation program. This role requires a self-starter with exceptional Microsoft Office Suite proficiency, outstanding documentation and contract management skills, and the ability to coordinate closely with general contractors, track costs, and provide regular executive-level reporting.
The successful candidate will thrive in a fast-paced environment with heavy administrative demands and a strong emphasis on accuracy, follow-through, and process efficiency.
Key Responsibilities:
• Manage day-to-day administration of projects across multiple sites.
• Prepare, send, and track construction contracts; follow up to ensure timely review and execution.
• Maintain detailed records and filing systems for all project documentation, contracts, and communications.
• Track project costs in Excel, updates, and progress in coordination with internal teams and contractors.
• Schedule contractors and monitor deliverables to ensure projects remain on time and within budget.
• Maintain a MS Project schedule to estimate the amount of time left until project completion.
• Maintain a database of key documents like Statements of Work, Purchase Orders, AHJ sign off as we need to have rigorous recordkeeping
• Use Microsoft Excel and other Office tools to build reports, trackers, and dashboards for internal use and executive updates.
• Schedule and lead meetings with business executives to provide project updates and cost analysis.
• Generate and deliver regular status reports to senior leadership, highlighting key milestones, risks, and budgetary updates.
• Ensure rigorous attention to detail throughout the projects
• Communicate clearly with contractors, building owners, fire departments, etc.
Qualifications:
• PMP certification or equivalent required.
• Minimum 8 years of experience in construction program or project management, with an emphasis on contract administration and cost tracking.
• Ability to understand (at a high level) the technology and system designs utilized for Firefighter Air Replenishment Systems
• Ability to read construction drawings and confirm system design details – looking for potential issues or errors that need to be remediated
• Proven ability to manage high volumes of administrative work and documentation with precision.
• Expert-level proficiency in Microsoft Office Suite.
• Exceptional organizational and time-management skills.
• Strong written and verbal communication abilities; comfortable presenting to senior executives.
• Experience working on remediation, infrastructure, or multi-site construction programs a plus.
