Sydney Wealth Management Permanent Our client is a boutique financial services firm based in the CBD of Sydney. They have an office of 42 staff in Sydney a small office in Melbourne with 5 staff They are seeking an experienced EA to provide exclusive executive and administrative support to the Managing Director and CFO. As well as the usual EA tasks, you’ll also get involved in project work / business management / some marketing activities and other tasks to assist the business. Our client is looking for someone who has a positive work ethic, is well presented, friendly and with an approachable personality. You will be a high achiever with an attention to detail and good interpersonal skills. The role requires 5 days in the office. Your duties will include: Extensive, complex diary management, including coordination of internal and external meetings, calls, video conferences. Maintain team diaries and contacts Telephone answering is a priority & accurate and prompt messages and assistance Travel & book flights and accommodation for team, including knowledge and awareness of the whereabouts of bankers, relevant client activities and travel policy guidelines Expenses & accurately complete expense reports for team of bankers each month Assisting bankers and general administration tasks, source and collate research information, news runs and project materials as required. Coordinate couriers and outgoing mail, distribute incoming mail General administration, including document production (Word) when required; ad hoc project work Client entertainment & organize ad hoc lunches, dinners; work with Generate reports using Excel, and collate data and content in Word & Powerpoint using exceptional attention to detail. Exceeding excel skills would be favourably looked upon. Arrange and manage meetings, including day-to-day priorities Using the Salesforce platform for data entry and reporting Manage and coordinate travel arrangements including itineraries, transportation, hotel bookings and expenses. Provide assistance in varied aspects of Business Development Provide general office support when required, assisting other Administrative team members Experience: Have 10-15 years’ experience as a Senior EA / Business Management experience in Financial Services, or Banking Have advanced MS Suite skills Must be able to work proactively in a fast-paced and demanding environment and have the ability to prioritize a busy workload Highly organized with strong attention to detail and an ability to manage multiple tasks and deliver quality results Exhibit highest standards of professionalism and maturity and the ability to bring ideas and experience to tasks Excellent communication/interpersonal skills; able to interact at all levels Proactive, punctual, reliable and a team player, together with a willingness to help other members of the EA team Be a good team player who is willing and ready to help your peers to ensure smooth daily operation in the office
