· Facilitate procurement activities including purchase requisitions, purchase orders, invoice processing, commitment tracking and procurement reporting. · Coordinate procurement documentation including Requests for Quotation (RFQs) and supporting evaluation activities in accordance with Defence policy and governance requirements. · Maintain procurement, financial and project registers to support project management and reporting activities. · Support financial administration activities including expenditure tracking, reconciliation and reporting. · Support preparation of procurement documentation and assist with review, clearance and approval processes. · Support procurement risk, issue, dependency and decision management activities. · Support preparation of agendas, minutes, action registers, briefs, presentations and stakeholder communications. · Support management of PMO documentation repositories, Objective records and shared mailboxes. · Support project reporting activities including risk management, schedule, governance, financial and performance reporting. · Contribute to continuous improvement initiatives and PMO process enhancement activities. · Provide other PMO support services as required. Requirements · Relevant tertiary qualifications or relevant industry and/or domain work experience. · Current experience conducting Commonwealth procurement, commercial administration, financial management activities. · Current experience supporting project, program or sustainment activities within a complex environment. · Experience preparing project documentation, reports, briefs and presentations. · Experience coordinating meetings, workshops and stakeholder engagement activities. · Strong organisational, planning and administrative skills. · Strong written and verbal communication skills. · Ability to manage competing priorities and deliver outcomes within agreed timeframes. · Knowledge commensurate with the skill level required of relevant Australian and International Standards, regulations and Defence requirements. · Proficiency in Microsoft Office and Defence ERP applications and electronic document management systems. · Works under general direction within a clear framework of accountability. · Exercises personal responsibility and autonomy while managing assigned tasks and priorities. · Plans and organises work to achieve agreed objectives and outcomes. · Investigates, analyses and resolves issues within areas of responsibility. · Communicates clearly and effectively, both verbally and in writing. · Produces accurate and professional documentation, reports and presentations. · Builds productive working relationships with internal and external stakeholders. · Facilitates collaboration between stakeholders who share common objectives. · Monitors and progresses activities to meet agreed schedules and deliverables. · Rapidly acquires and applies new knowledge and information. · Demonstrates sound judgement and attention to detail. · Contributes to continuous improvement initiatives and business process enhancements.
