About the RoleWhitehaven Coal is looking for a friendly, organised and proactive Administration Support & Reception team member to join our Newcastle office on a permanent full-time basis. This is a great opportunity to be part of a supportive team and play an important role in creating a welcoming, well-run office for more than 100 employees. In this office-based role, you will be a key first point of contact for visitors and employees, while helping keep day-to-day office operations running smoothly. This position is based in the office five days per week, with working hours from 8.30am to 5.00pm. What You’ll DoReporting to the Contracts Coordinator, you will support the day-to-day operations of the Newcastle office and help create a welcoming, organised and professional environment for employees and visitors. Your responsibilities will include: Welcoming visitors, screening and directing calls, and responding to enquiries in a friendly, professional and timely manner Providing helpful and reliable administrative support to corporate departments across the office as required Helping coordinate office operations, including organising repairs and maintenance, liaising with the property manager, and supporting the resolution of day-to-day workplace matters Assisting with the management of the pool vehicle fleet, car parking arrangements and ad hoc travel requests as required Keeping office supplies well stocked and ensuring the team has what they need to work effectively Helping arrange meetings and events across the business, while liaising with internal and external stakeholders Completing a variety of administrative tasks, including raising purchase orders, filing and other office support activities What You’ll Bring At least three years’ experience in an administrative, reception or similar support role Confidence managing a variety of administrative tasks, with strong attention to detail A genuine commitment to providing great customer service and building positive working relationships Intermediate Microsoft Office skills, including Word, Excel, Outlook and PowerPoint Strong organisational, time management and problem-solving skills, with a proactive approach to getting things done The ability to work independently while also contributing positively to a supportive and collaborative team environment A friendly, approachable and professional style, with excellent interpersonal skills Why Whitehaven?At Whitehaven, you’ll be part of a team that values people, supports development and recognises the important contribution each person makes.
