Job Posting Title: Production Coordinator Req ID: 10154111 Job Description: Role Overview The Production Coordinator is responsible for scheduling, communication, and coordination for specific artist disciplines on a project. Reporting to the VFX Producer and Production Manager, the Coordinator ensures show operations remain organised and efficient. This role serves as a vital point of information on the show, balancing multiple project needs and delegating tasks to Production Assistants as required. Key Responsibilities Collaborates with discipline supervisors and leads to crew, cast, and schedule specific bodies of work, maintaining alignment with the overall show schedule, client reviews, and bids. Establish a daily and weekly process for communicating discipline targets, assignments, and priorities to both the discipline crew and the broader production team. Schedule, track, and manage assigned work within the internal tracking tool (ShotGrid), working with Production Managers to ensure data is visible and accurate for the entire team. Monitor project progress to ensure work remains on schedule and meets both internal milestones and external client deadlines. Conduct regular check-ins with artists regarding workload, targets, and specific departmental needs. Set up turnovers with the discipline crew, ensuring all assigned artists have clear and accurate information for shots or assets. Track client needs and deliveries to ensure all assigned disciplines hit their specific targets and milestones. Generate weekly synopses of discipline accomplishments and upcoming next steps for production leadership. Serve as the primary liaison for all parties relevant to the assigned work, providing real-time updates on shot status, priorities, and reschedules. Anticipate and communicate potential issues to the leadership team in a proactive manner to reach timely solutions. Supervise, delegate to, and train assigned Production Assistants. Organise dailies and shot reviews on behalf of supervisors and leads, capturing feedback and entering decisions into the internal tracking system. Perform technical troubleshooting and run generic scripts to resolve basic view station or technical setup issues. Qualifications & Skills Strong organisational and communication skills, with the ability to handle a variety of tasks efficiently while meeting strict deadlines. A proactive and eager attitude, consistently seeking out ways to assist the team and improve workflows. Strong problem solving abilities , identifying and escalating technical or scheduling issues to leadership in a timely manner. A collaborative team dynamic, working effectively with diverse personalities across multiple departments. technical literacy to run Linux, Windows, and Mac-based programs for reviews with crew, clients, and vendors. Possess a Bachelor’s Degree in Film, Art, Communications, or a related field, or equivalent industry experience. Minimum of 1-3 years of work experience in a VFX or animation production environment, including a strong working knowledge of post-production techniques.
