The Office Manager is a pivotal role within Newnorth Group Pty Ltd, responsible for the efficient and effective day-to-day operation of the office environment. The incumbent will provide high-level administrative leadership, coordinate operational functions, support senior management and broader teams, and ensure the workplace operates in a compliant, organised, and productive manner. The Office Manager will serve as a central point of contact for internal and external stakeholders and will play a key role in maintaining the standards and systems that underpin the business. Coordinate and manage incoming and outgoing correspondence, including mail, email, and telephone communications. Organise and maintain filing systems (both physical and digital), ensuring documents are accurately stored, easily retrievable, and appropriately secured. Schedule and coordinate meetings, appointments, and travel arrangements for senior management and staff as required. Prepare, proofread, and distribute internal and external documents, reports, presentations, and communications. Liaise with building management, IT service providers, and other external service providers to ensure the office environment is functional and well-maintained. Provide direct administrative and operational support to senior management, directors, and cross-functional teams. Assist with the onboarding and induction of new employees, including coordinating workstation setup, access credentials, and orientation schedules. Supervise and provide guidance to administrative support staff, where applicable, including delegation of tasks and performance oversight. Coordinate internal events, team meetings, and company functions, including logistics, catering, and communications. Manage and monitor the office administration budget, tracking expenditure and reporting variances to management. Process and reconcile invoices, purchase orders, and expense claims in accordance with company policies and approval authorities. Liaise with the finance team or external accountant to support accounts payable and receivable functions as required. Assist with the preparation of financial reports, budgets, and forecasts as directed by senior management. Maintain accurate and up-to-date employee records, contracts, and HR documentation in accordance with legal requirements and company policy. Ensure all business licences, registrations, insurances, and statutory obligations are current and renewed in a timely manner. Monitor and ensure compliance with the company's policies and procedures, escalating any concerns to management as appropriate.
