Care Admin Full-Time | Bundoora VIC | Monday–Friday | Start ASAP At Help at Hand Support Services (HAHS), our Care Team are at the heart of everything we do — and behind every great coordinator is a brilliant support person keeping things moving. That's where you come in. We're looking for a switched-on Care Admin to join our Bundoora head office team. This is a varied, hands-on role where no two days look the same. You'll be across admin, phones, rostering, shift notes, service agreements and more — pitching in wherever the team needs you and making sure our coordinators can focus on what they do best. What You'll Be Doing This is a true all-rounder role — you'll be supporting the coordination team across a wide range of tasks, including: Answering incoming calls and being a friendly, professional first point of contact for clients, support workers and families Assisting Care Coordinators with day-to-day admin tasks so they can focus on participants Supporting the rostering team — helping fill shifts, checking availability and communicating changes with support workers Reading and reviewing shift notes, flagging anything that needs coordinator attention Preparing and processing service agreements and other participant documentation Calling support workers to confirm availability, shift details or address queries Maintaining accurate records and keeping participant and staff files up to date Jumping in where needed — this team works collaboratively and everyone chips in What You'll Bring We're looking for someone reliable, people-focused and ready to get stuck in. You don't need to come from a disability background — but you do need to care. Experience in general admin, coordination or a similar role A confident and warm phone manner — you're comfortable handling a busy line Strong written and verbal communication skills Ability to manage multiple tasks and stay calm when things get busy Great attention to detail — especially when working with documentation and client records A proactive, can-do attitude and willingness to help wherever needed High computer literacy with the ability to pick up new systems quickly Unrestricted working rights in Australia Current Police Check (or willingness to obtain one prior to starting) Experience in the NDIS or disability sector is a bonus, but not essential — we'll train the right person.
