Position Summary Northway Logistics is seeking a skilled and detail-oriented Contract Administrator to support its transport, freight, warehousing, and logistics operations in Victoria. This role is central to managing customer service agreements, supplier and subcontractor arrangements, pricing documentation, compliance records, and contract administration processes that support the company’s local and interstate logistics services. Key Responsibilities Prepare, review, interpret, and maintain contracts relating to freight transport, linehaul services, warehousing, refrigerated transport, last-mile delivery, subcontractor services, and supplier arrangements. Develop and review contract terms, service agreements, pricing schedules, delivery obligations, and operational requirements to ensure they meet company policies and customer expectations. Negotiate and coordinate contract variations, renewals, extensions, and amendments with customers, subcontractors, suppliers, and service providers. Manage contract documentation, including service agreements, purchase orders, work orders, rate schedules, compliance records, delivery terms, and supporting correspondence. Monitor contractual obligations, service levels, delivery timeframes, reporting requirements, and key performance indicators to ensure freight and logistics services are delivered as agreed. Respond to contract-related enquiries and resolve issues concerning freight services, subcontractor performance, customer agreements, delivery delays, service variations, and payment or documentation matters. Liaise with management, operations teams, fleet coordinators, warehouse staff, drivers, customers, and external providers to ensure contract requirements are clearly communicated and achieved. Oversee subcontractor and supplier work under contract, including monitoring performance, reviewing work orders, identifying variations, and reporting issues requiring management attention. Prepare and review reports, submissions, contract summaries, performance updates, and operational documentation relating to the company’s transport and logistics activities. Requirements Completion of a relevant qualification in business administration, contract administration, logistics, supply chain management, project management, or a related field. A Certificate III or Certificate IV in Business, Business Administration, Supply Chain Operations, Logistics, Procurement, or Project Management Practice will be preferred. Additional qualifications such as a Diploma of Business, Diploma of Logistics, Diploma of Project Management, Diploma of Procurement and Contracting, or equivalent vocational qualification will be preferred but are not mandatory. Minimum 3 years of practical experience in contract administration, business administration, procurement, logistics coordination, transport operations, or a similar administrative role, preferably within the freight, transport, warehousing, or logistics industry. Strong knowledge of contract administration processes, including preparing, reviewing, maintaining, monitoring, and coordinating service agreements, supplier contracts, subcontractor arrangements, pricing schedules, and contract variations.
