Role purpose This is a unique opportunity for an experienced administration professional to play a pivotal role in supporting the rhythm, quality and integrity of Board governance in an ASX-listed environment. As Board & Company Secretary Coordinator, you will act as a trusted partner across Board and Committee operations and the Company Secretary function, ensuring senior stakeholders, Non-Executive Directors and the Company Secretary team are consistently supported with accurate, timely and well-curated materials and seamless administration support . This role is ideally suited to a seasoned Board or senior executive support professional who brings strong judgement, discretion and the confidence to build trusted relationships across a diverse and high-performing stakeholder group. The impact you’ll have Play a pivotal role in enabling the effective and seamless operation of Board and Committee activities within an ASX-listed environment. Facilitate clear, timely and well-coordinated engagement between the Board, senior leaders and the Company Secretary team. Support strong governance outcomes and value creation through the delivery of accurate Board materials, disciplined meeting preparation and reliable, well-managed processes. Bring a high level of professionalism and proactive coordination to complex, time-sensitive work, where precision and stakeholder confidence are critical. What you’ll be trusted to deliver Provide high-quality, professional support to Non-Executive Directors, alongside broader administrative support to the Company Secretary team, including seamless coordination of calendars, travel and expenses. Coordinate and support Board and Committee operations, including meeting schedules, agendas, papers, minutes, collaboration tools, key deadlines, and associated events such as offsites and asset tours. Support the preparation, coordination and finalisation of Board and Committee materials, working closely with the Company Secretary team and senior stakeholders to ensure accuracy and timely delivery. Manage Board portal activity, including document uploads, user administration and liaison with external vendors as . Support governance processes through effective document control, records management, maintenance of statutory records and the organisation of key company secretarial files. Work across teams and stakeholders to ensure requirements are clearly understood and delivered on time. Proactively identify and implement improvements across processes, collaboration spaces, work planning, filing systems and shared inboxes. What you’ll bring Demonstrated experience in senior administrative, Board coordination or executive support roles within a complex corporate environment. Confidence supporting high-stakes meetings, senior executive calendars, tight deadlines and highly confidential materials. Strong judgement, discretion and composure when managing sensitive information, shifting priorities and senior stakeholder expectations. Proven ability to build credibility quickly, navigate stakeholder dynamics and ensure effective follow-through. Experience working within structured governance frameworks, with the flexibility to adapt to evolving business needs. Excellent written and verbal communication skills, with exceptional attention to detail and a commitment to delivering high-quality outcomes. Advanced proficiency in the Microsoft Office suite, with practical experience using planning and collaboration tools (e.g. Microsoft Planner); familiarity with Board portal platforms such as Diligent Boards is desirable.
