Job Description Position: APS5/6 Project / Program Coordinator Location: Canberra, ACT Start date: Multiple positions available – commencement dates in July, August and September Duration: Approx. 12 months with potential to extend Pay rate: Rates negotiable dependent on skills and experience Security requirements: NV1 Australian Government Security Clearance minimum Overview Our Federal Government client is seeking multiple APS5/6 Project/Program Coordinators to support the delivery of complex programs and projects within a high-profile security-focused environment. These roles will provide project coordination, governance, stakeholder engagement, communications, and administrative support across a range of initiatives, ensuring effective project delivery and successful business outcomes. Responsibilities • Provide administrative and project coordination support to senior staff while managing competing priorities. • Support project delivery activities, day-to-day operations, and business-as-usual functions. • Schedule meetings, prepare agendas, and record minutes for project and governance forums. • Provide governance support, including the preparation and management of governance papers and reporting documentation. • Maintain project records, documentation, registers, and reporting information. • Contribute to the preparation of project status reports, budgets, discussion papers, and stakeholder updates. • Coordinate the flow of information between project teams, stakeholders, and governance bodies. • Design and produce engaging infographics and visual materials to support presentations, reports, and communications. • Assist in the development and delivery of project communications and stakeholder engagement activities. • Support change management initiatives to facilitate successful adoption of new processes and systems. • Assist with the development and delivery of training materials and project-related training activities. • Build and maintain effective relationships with internal and external stakeholders throughout the project lifecycle. Experience/requirements: • Previous experience in a Project Coordinator, Program Coordinator, PMO, or similar project support role. • Understanding of project management principles, including planning, monitoring, reporting, evaluation, and assurance activities. • Strong written and verbal communication skills with demonstrated stakeholder engagement experience. • Experience preparing project documentation, reports, meeting papers, and governance artefacts. • Ability to quickly learn new systems, tools, and digital technologies. • Strong organisational skills with the ability to manage competing priorities and meet multiple deadlines. • High attention to detail and a proactive, service-oriented approach. • Ability to work independently and collaboratively within a small team environment. • Demonstrated initiative, resourcefulness, and problem-solving capability.
