Opportunity: Crystal Migration Legal Services is seeking a Legal Secretary to join our professional and dynamic team in Sydney 2000 Australia. We are offering a full-time opportunity to the right candidate. The right candidate must be able to demonstrate previous experience in a law office and to work independently. Duties and responsibilities: The purpose of the role is to provide comprehensive administrative, educational, and legal support to Crystal Migration Group, ensuring the accurate preparation and management of legal documents, efficient coordination of case and compliance activities, and seamless communication to facilitate the delivery of high-quality legal services and professional development programs. Your main tasks are, but not limited to: Preparing, formatting, and proofreading legal documents and correspondence including contracts, court forms, submissions, and case-related documentation. Creating, organising, maintaining, and managing legal files and case records on legal systems, ensuring confidentiality and regulatory compliance. Coordinating and scheduling court dates, client consultations, and internal meetings for the director and other legal professionals Managing office supplies and administrative requests, including document collation, scanning, filing, and preparing purchase orders with approval from management. Answering, screening, and redirecting telephone calls while responding to inquiries with professionalism and accuracy, ensuring effective communication and appropriate follow‑up across clients, colleagues, and external stakeholders. Preparing and assisting in the generation of legal bills and invoices using Xero, ensuring accuracy, consistency, and compliance with financial and regulatory requirements. Assisting the director with course preparation, formatting and proofreading Migration and Administrative Law training materials. Coordinating Migration and Administrative Law CPD events and educational workshops. Maintaining compliance with OMARA requirements for CPD providers and other regulatory bodies. Liaising with CPD attendees, trainers, assessors and clients. Managing enrolments, student files, assessments, and certification documentation. Supporting the director (Ross Ahmadzai) in his role. Filling and updating education-related policies and procedures. SKILLS & EXPERIENCE Experience: Tertiary qualification in related or co-related field. Previous working experience within a law office environment. Skills: Advanced Microsoft Office skills (Word, Excel, PowerPoint, and Outlook) Good verbal and written communication Organised and able to meet deadlines. Negotiation skills. Attention to details. Customer service skills. Creating content skills. Ability to work under pressure and with minimum of supervision.
