Each group program includes accommodation, meals, activities, excursions, and all supporting logistics required to deliver a complete, ready-to-run camp experience. This includes planning the full schedule of activities and experiences, coordinating external excursions, and ensuring all operational details are aligned so each group arrives to a fully prepared program. From approximately six months before arrival, you become the key point of contact for group organisers and take full ownership of all planning, coordination, and preparation required to deliver a seamless and well-executed camp experience. You will work closely with internal teams and external providers to ensure every detail is confirmed, documented, and ready for delivery on site. This is a hands-on program ownership role suited to someone who enjoys bringing structure, clarity, and detail to complex, multi-stakeholder environments. What You’ll Do You will own the end-to-end planning and coordination of group camp experiences after booking confirmation, ensuring every camp is fully prepared for successful delivery. Act as the primary point of contact for group organisers from approximately 6 months prior to arrival through to handover Collaborate with group organisers to define, refine, and document all program requirements (including on- and off-site activities, daily schedules, dietary requirements, rooming needs, accessibility needs, and logistics) Design and coordinate tailored camp activity programs in collaboration with internal teams Ensure programs are developed at least one term in advance and meet operational requirements Maintain accuracy and completeness of all planning documentation and systems Manage all communication with group organisers throughout the planning phase Support groups in using the MyCYC Portal as the primary platform for communication Coordinate with internal departments to align program, catering, transport, and activity requirements Ensure all stakeholders have clear, accurate, and timely program information Support group arrivals and ensure smooth transition into on-site delivery Coordinate and book all external excursions and third-party activities Manage relationships with external providers, including confirmations and scheduling alignment Receive, review, and process external supplier invoices in line with organisational procedures Oversee transport planning, run sheets, and program logistics in collaboration with internal teams What We’re Looking For Strong organisational and coordination skills with excellent attention to detail Confident communicator who can manage multiple stakeholders Ability to plan ahead, problem-solve, and manage competing priorities Experience in administration, events, hospitality, tourism, logistics, or similar coordination roles (preferred) Comfortable working in a fast-paced, people-focused environment Strong computer literacy and ability to manage systems and documentation Essential Requirements Victorian Employee Working With Children Check (or willingness to obtain) Right to work in Australia Why You’ll Love Working Here Full-Time Stability: Fixed-term maternity leave cover with meaningful responsibility Incredible Location: Work in one of Victoria’s most iconic adventure destinations Supportive Team: Join a collaborative and purpose-driven environment Real Impact: Play a key role in delivering unforgettable experiences for school groups and guests Ready to Apply?
