About the Role We are seeking an experienced and proactive Office Manager to provide central administrative and operational support across our three locations. This role is pivotal in ensuring the smooth day-to-day running of the business, supporting management and staff, and maintaining efficient systems and processes across all branches. Tasks & Responsibilities Act as the central administration and operational support contact across our three business locations, ensuring consistency in processes, communication, and service delivery. Develop, implement, and maintain office systems, procedures, and policies. Manage office supplies, equipment, and facilities, ensuring adequate stock levels and maintenance. Coordinate meetings, appointments, travel arrangements, and company events. Maintain accurate company records, files, and documentation. Process accounts payable and accounts receivable. Prepare invoices and purchase orders. Assist with recruitment, onboarding, and staff inductions. Manage incoming enquiries and ensure prompt resolution of issues. Coordinate insurance, licences, certifications, and compliance documentation. Support senior management with reporting, projects, and business initiatives. Coordinate contractor and supplier services. Identify and implement process improvements to increase efficiency. Ensure a high standard of customer service is maintained across the business. Working closely and supporting the Managing Director as an Executive Assistant, planning weekly meetings and taking minutes. Any other business and office administration tasks as required. Qualifications & Experience 1 years' relevant experience in an Office Management role. (Essential) Minimum Diploma Qualification in Accounting, Business Administration or another related field. (Highly Desired) Proficient in Xero Accounting Software (Essential) Proficient in Microsoft Suite (Word, Excel) (Essential) Experience working in the construction or plant & equipment industry (Highly Desired Experience in Document Control and Maintaining an Integrated Management System for ISO accreditation (Desired) Strong analytical and problem-solving skills. Reliability and ability to work independently with great efficiency, must have a strong work ethic and ability to meet deadlines and targets without supervision. Excellent communication skills both written and verbal. Proven ability to multi-task and work well under pressure and in a fast paced environment. Positive, energetic, ambitious team player.
