Location : 139 Newcastle Street, Perth WA Hours : Full-time, 37.5 hours per week About AACHWA The Aboriginal Art Centre Hub of Western Australia (AACHWA) advocates on behalf of its member art centres located in regional and remote Western Australia. AACHWA delivers professional development programs for managers, boards, and artists; provides recruitment advice and services; and acts as an advocate to, and central point of contact for, Regional, State and Federal funding bodies. About the role The Project Coordinator role is a key position working in accordance with the vision, goals and policies of the Board to support the delivery of AACHWA’s core programs. Coordinators plan and deliver events and activities in collaboration with partners and support Managers or the CEO to achieve organisational outcomes, contribute to annual planning, and manage projects and budgets within their allocated scope. The Project Coordinator operates to support the delivery of two of AACHWA’s core annual programs: Revealed: New & Emerging WA Aboriginal Artists and the Our Business Aboriginal Art Centre Forum. Revealed is WA’s biggest celebration of Aboriginal art, comprising an expansive exhibition, art market as well as professional and creative development programs for artists and art centre staff. The Our Business: Aboriginal Art Centre Forum is a weeklong professional development gathering designed to support WA Aboriginal art centres by providing training in effective business management, promoting regional partnerships, and offering networking and market access opportunities. Held in a different regional WA location each year, the annual forum aims to support the professional growth and leadership training of art centre board members, managers, staff and arts workers by providing presentations, activities, and opportunities to connect with others in the sector, thereby strengthening the WA arts and culture workforce. The role involves supporting the planning, delivery, evaluation and promotion of these two events. Duties and Responsibilities Under direction of the Programs Manager, you will be responsible for: • Event Planning and Delivery: develop, manage and deliver key aspects of Revealed and the Our Business Forum and contribute and support events run by AACHWA • Logistics & Operations: oversee venue, travel, accommodation, ground transport and catering logistics as well as audio-visual production, site inspections, staffing rosters and detailed running sheets • Program Development: assist with development of program content for each event • Budgeting & Financials: create, manage, and adhere to strict project budgets, ensuring all expenditure complies with internal procurement policies whilst also maintaining financial records. • Stakeholder Liaison : develop strong relationships with art centres, artists, presenters & facilitators, event partners and venues, Aboriginal Corporations, traditional owners and elders, community groups, local authorities and funding partners • Communications: support AACHWA’s communications team by providing marketing copy and accurate information as required and assisting with the design of application, registration and ticketing systems • Funding & Reporting: contribute to funding applications, grant acquittals and internal reporting requirements in a timely manner • Evaluation: contribute to evaluation methods and processes • Risk Management: lead risk assessments and developing safety, security and contingency plans • Legislation: Ensure that plans, permits and applications comply with appropriate legislation whilst exercising knowledge of statutory legal requirements • Administration: Maintain accurate project documentation in line with AACHWA and statutory requirements, and contribute to organisational publications such as the Annual Report whilst also providing high-level administration support to senior staff • Commitment: Be willing to work outside of usual business hours including evenings and weekends to support delivery of AACHWA events • Advocacy: Be committed to promoting AACHWA’s work to the community whilst upholding the mission, values and standards The Ideal Candidate Essential Criteria: • 3-5 years' experience working in a Producer or Event Management role, ideally within a visual arts context • Demonstrated experience working within the planning and delivery of large-scale, complex events and programs • Availability and willingness to travel inter-state and work outside of usual business hours, including evenings and weekends when required • Experience working with consultants, facilitators, Aboriginal and Torres Strait Islander artists and/or communities • Strong stakeholder engagement, relationships and communication skills • Ability to resolve conflicts as they arise, analyse problems and provide practical solutions • Competency in leading teams and supervising casual, contract or assistant staff • Possess a positive and personable attitude combined with excellent interpersonal skills • Must be collaborative and motivated with the ability to manage multiple tasks and prioritise effectively to meet objectives efficiently • Ability to maintain confidentiality and appropriately deal with sensitive information • Must be an Australian Citizen/ Permanent Resident with valid working rights • Willingness to obtain a National Police Clearance Highly regarded (but not essential): • Aboriginality will be highly regarded • Qualifications in Arts/Project or Events Management • Demonstrated knowledge of the Aboriginal and Torres Strait Islander arts and the wider visual arts sector • A current ‘C’ Class Driver’s License Why Work For AACHWA?
