The UK in Australia Network consists of five Missions – the British High Commission in Canberra, as well as Consulates-General in Perth, Melbourne, Brisbane and Sydney. The Corporate Services Team is responsible for ensuring that the network operates effectively and efficiently: providing HR, finance, procurement, security, transport, IT, and estates services to approximately 150 staff across Australia. The Estates Officer is the Network lead on: Estate management, including local oversight and liaison with the Network’s Facility Management provider; mainstreaming sustainability into the Network’s operations; and Health and Safety policy and implementation. They will work closely with, and report to, the Corporate Services Manager and/or Head of Corporate Services. They will also work closely with the Protocol Officer who leads on UKB arrivals and departures, including housing allocation. The role requires experience in operational delivery, and a strong focus on continual improvement. The successful candidate should have excellent interpersonal, problem-solving and decision-making skills, and will need to develop a good understanding of compliance and legal requirements, both from the UK and in Australia. Roles and responsibilities / what will the jobholder be expected to achieve: Estate Oversight Act as Network point of contact for all office Estates matters, liaising with relevant policy or delivery leads, including regional specialists, to address issues promptly and ensure the Estate is managed in line with FCDO policy and UK / Australian legal standards. Local liaison with, and oversight of services provided by, the outsourced Facilities Management (FM) provider in Australia, in conjunction with the Regional Contract Manager. Ensure the Network’s requirements and experience are accurately reflected in contract and performance discussions. Manage network input into non-FM projects or maintenance requirements, including identifying improvements, preparing business cases to support funding requests, and working with contractors and delivery partners to minimise disruption. Health and Safety Act as Health and Safety coordinator for the Network. Engage with policy owners to maintain up-to-date knowledge of requirements, and ensure these are communicated and implemented effectively. Investigate health and safety incidents, and monitor reports to identify and address trends. Coordinate provision of first-aid training across the Network, and ensure risk assessments are carried out to support the safe management of events, functions, and visits. Sustainability and Resilience Lead efforts to mainstream sustainability principles across the Estate, identifying and implementing measures to reduce water and power consumption, reduce waste, and promote local procurement. Maintain up-to-date business continuity plans for all sites, and participate in crisis exercises. Governance Support effective functioning of Network Housing, Estates, and Health & Safety Committees, following up actions promptly. Manage accurate budget forecasts for local maintenance and estates or health and safety related expenditure, flagging risks. Contribute to effective delivery of corporate services, by providing flexible support or leave cover as required, and undertaking activities at the request of the Corporate Services Manager. Resources managed (staff and expenditure): Oversight of facilities budget of up to $50,000. Essential qualifications, skills and experience Operational delivery experience and/or project management skills Strong interpersonal, decision making and stakeholder management skills Excellent verbal and written communication skills, and IT literacy Desirable qualifications, skills and experience Experience managing suppliers and/or outsourced service delivery, particularly in relation to estates, facilities management, or health and safety.
