About the Role Pickers Vinyl & Canvas is a well established Queensland business specialising in the design, manufacture, and installation of tensile structures, shade sails, waterproof membranes, and custom commercial shade solutions. With more than 40 years of industry experience, we deliver award winning projects across commercial, government, education, hospitality, and residential sectors throughout Far North Queensland. We are currently seeking an experienced and motivated Project Coordinator to join our growing team in Cairns, Queensland. This is a full time permanent position with an annual salary range of $85,000 to $95,000. Key Responsibilities Project Coordination & Administration Coordinate projects entirely from Quote to Installation. · Planning and Scheduling installations teams jobs & projects based on priority and job stage (Initial Measures, Final Measures, Installations & Repairs). · Coordinate Engineering Documentation (Form 15’s) & Council Approvals entirely from Quote Stage through to Installation Stage. · Prepare daily project documentation (Provide Initial Plans, Finial Plans and/or Engineering Drawings and OEM manuals as required for each job – Highlight any non-standard tasks or special requirements. · Request quotations for non-stock / non-standard items from suppliers & 3rd party services. · Daily handovers with Team Leaders. · Running weekly Installation Review (Toolbox Meeting) o Review Installs from previous 7 days o Review installs planned for next 7 days. o Review Safety Issues and requirements (JSEA & SWMS). o Review any upcoming large scale or special projects (monthly basis). · Organise 3rd party services as required (Hydrovac, Concrete, Boilermakers, Electricians and other tradesmen). · Manage & update procedures, training of installation team on site standards (Initial Measurers & Final Measure Etc). · Support director with long term planning & company decisions. · Attend management meetings & project meetings as required. · Assist with staff recruitment KPI’s Key Performance Indicators · Implementation of KPI’s to drive actions and improvements. · Measure Weekly & Monthly – Report to Management & Project Meetings. Skills & Experience Required Minimum 1 years’ experience in a Project Coordinator or similar role. Experience with coordinating construction, manufacturing, engineering, or installation projects. Experience using Microsoft Excel, Word, and Outlook. Experience with project management or job scheduling systems such as Ascora is desirable. Strong organisational and time management skills. Excellent written and verbal communication skills. Ability to coordinate multiple projects and stakeholders simultaneously. Ability to lead meetings, toolbox talks, and work collaboratively with installation teams and contractors. Qualifications Relevant qualification in Project Management, Engineering, Drafting, Construction Management, or related field preferred.
