Avondale University is seeking an Executive Assistant on a part-time ongoing basis for 19 hours per week. Be challenged and imagine with us This role provides administrative support to the Deputy Vice-Chancellor (Academic)’s portfolio. You will be responsible for providing quality administrative support through various activities including policy processes, surveys and minute taking. What will you do? Some of the main duties will include: General Administrative Support: Provide administrative support including meeting scheduling, and the preparation and editing of documents, presentations, and reports as required. Handle sensitive and confidential information with the utmost discretion. Assist with special projects and initiatives (for example, accreditation and registration projects). Provide assistance with minute taking for Learning and Teaching Committee, and Academic Board. Quality Function Support: Coordinate quality assurance related activities including: QILT and SAE-Q surveys. Assist with the coordination of policy reviews and updates, including tracking timelines and following up with relevant stakeholders. Maintain the policy repository, ensuring documents are uploaded, formatted and stored accurately. Support the administration of institutional student surveys, including setup, communications, and monitoring participation. Support the coordination and data collation associated with the grades moderation process. About you To be successful in the Executive Assistant role, you will be a dynamic and responsive team player committed to providing administrative support. Essential criteria Relevant work experience and expertise; or an equivalent level of knowledge demonstrated through a combination of education, training and/or work experience. Demonstrated experience in an executive assistant role. Proficiency in Microsoft Office and general administrative systems. High level communication, collaboration and organisational skills. Demonstrated ability to comfortably and effectively liaise with all levels of staff in diverse situations; Demonstrated ability to maintain professional relationships with University stakeholders, government departments, and other external personnel and bodies as required; Demonstrated aptitude for tact, consultation, confidentiality, and customer service; Demonstrated experience in managing multiple tasks within a context of conflicting priorities; and Support the mission, values, and ethos of Avondale Desirable criteria Prior experience in a higher education environment would be advantageous.
