About the role The Office Manager provides administrative, operational, and organisational support to ensure efficient business operations and enable senior management to focus on strategic leadership. This function oversees office coordination, scheduling, executive support, communication management, reporting, tender administration, document control, and stakeholder engagement. It acts as the operational backbone of the business, supporting the Director and ensuring the office operates in an organised, professional, and compliant manner. Duties and Responsibilities Provide high‑level administrative assistance to the Director, including preparing reports, presentations, correspondence, briefing documents, and project updates. Assist with tender submissions, completion of tender documents, and communication with stakeholders during tendering processes. Act as a trusted partner and sounding board to the Director on operational matters. Coordinate and track key action items, follow-ups, and project milestones across various departments. Lead daily office coordination and act as the first point of contact for visitors, clients, and callers. Manage office operations including facilities, stationery, supplies, vendor communication, and service providers. Oversee filing systems, digital document storage, and drive document-sharing efficiencies. Assist with internal communications and support information flow between departments. Gather financial and operational documents as required and respond to internal/external inquiries. Process supplier invoices, issue client fee estimates and tax invoices, and perform debt collection and follow-up. Process fortnightly/monthly payroll, including superannuation contributions, PAYG withholding, and Work Cover declarations. Perform regular reconciliations of all bank accounts Prepare and lodge Business Activity Statements (BAS) and Instalment Activity Statements (IAS) in coordination with the firm's external accountant. Generate monthly profit and loss statements, balance sheets, and aged receivable reports for review by the Principal Solicitor. Manage and track client disbursements Organise records, maintain databases, and ensure document accuracy and accessibility. Manage mail, handle telephone enquiries, and support general business administration. Assist with inventory tracking and general office duties to ensure an efficient and professional work environment. Provide ad‑hoc operational support to assist day‑to‑day business flow. Perform other reasonable duties as required by the Director or management to support business and operational needs.
