Introduction Disability Empowerment and Support Foundation (DESF) DESF provides staff to various SIL Providers in WA with services from administration to disability support workers. Description Direct Management The Scheduling Coordinator reports directly to the Executive Director and Director of Operations. Job Purpose The primary objectives of the role are: Staff Rostering and Scheduling. Staffing Adjustments & Replacements. Recruitment and HR Support. Onboarding & Induction. Compliance and Documentation. Develop, maintain, and update staff rosters to ensure efficient service delivery. Allocate support workers based on participant needs, preferences, and compatibility. Manage last-minute shift changes due to absences or participant requirements. Ensure compliance with relevant awards. Monitor and track staff working hours to prevent fatigue and award breaches. Communicate effectively with coordinator, staff and relevant departments regarding scheduling updates. Assist Area Coordinators, the Executive Director and relevant departments with matching participants with suitable support workers based on skills, availability, and rapport. Respond promptly to participant requests and roster adjustments. Work closely with the Area Coordinators and the Executive Director teams to ensure continuity of care. Ensure rosters align with NDIS guidelines, SCHADS Award, and Fair Work requirements. Maintain accurate records of staff hours, breaks, and shift changes for payroll processing. Report rostering issues and trends to management, including unfilled shifts and cancellations. Support auditing processes by ensuring accurate documentation of shift data. Utilize rostering and workforce management software. Ensure all scheduling data is up to date and accessible for reporting and compliance. Forecast workforce requirements to ensure sufficient staff availability. Identify trends in staff availability, unfilled shifts, and participant demand to optimise service delivery. Collaborate with the Executive Director, Director of Operations and other relevant departments to manage staff leave requests. Skills And Experiences Desired Skills and Experience: Proven experience in scheduling and rostering within a HR department Excellent organisational skills with the ability to prioritise tasks effectively Strong communication skills, both written and verbal, with the ability to liaise with multiple stakeholders Proficient in using scheduling software and other relevant tools Ability to work accurately and efficiently in a fast-paced environment Understanding of employment regulations and compliance requirements Attention to detail and a high level of accuracy in managing schedules and rosters Proactive problem-solving abilities, particularly in dealing with last-minute changes or unexpected challenges Experience working within an organisation focused on disability support or similar field (desirable)
