About the Role We are seeking a hands-on Facilities Coordinator to join a high-performing team managing a site in Melbourne’s eastern suburbs. This is a site-based, operational role where you will play a key part in ensuring the smooth, safe, and efficient running of a busy, high foot traffic environment working directly for a landlord. Working closely with the Facilities Manager, you will be responsible for coordinating day-to-day operations, managing contractors, overseeing maintenance activities, and ensuring compliance across all building services. Key Responsibilities Act as the central point of contact for contractors, tenants, and internal teams, coordinating works and communicating scheduling requirements clearly Oversee day-to-day facilities operations across both hard and soft services in a live, high-traffic environment, ensuring smooth building performance Assist with incident and breakdown response, ensuring reactive maintenance is actioned quickly and aligned with SLA expectations Coordinate and direct contractors across planned and reactive maintenance activities, ensuring all works are delivered safely, on time, and to required standards Maintain and manage the CMMS system, ensuring work orders are accurately prioritised, tracked through to completion, and properly closed out Undertake routine inspections of the site to identify maintenance issues early and ensure timely escalation and resolution of defects Support compliance obligations including statutory maintenance, safety inspections, and audit readiness across building services Provide support to minor capital works, upgrades, and refurbishment projects as required across the asset About You You are technically strong, highly organised, and confident working in a live operational environment. You thrive on problem-solving and take ownership of outcomes. You will ideally bring: Experience in facilities management, building services, property maintenance, or a trade background Strong understanding of building systems such as HVAC, fire, electrical, plumbing, or general maintenance Experience coordinating contractors and managing work orders through a CMMS or similar system A strong focus on safety, compliance, and service delivery standards Excellent communication skills with the ability to engage contractors, tenants, and internal stakeholders A proactive and hands-on approach to problem solving Retail, premium residential, commercial or shopping centre experience is highly regarded but not essential for candidates.
