On behalf of Holliers Transport Group, we are seeking a skilled and experienced Office Manager to organise and control the functions and resources of their office, ensuring the smooth and efficient delivery of administrative, HR, and office services that underpin Holliers' fast-paced transport operations. This is a crucial role supporting leadership and operational stakeholders across the business, enabling Transport and Operation managers to focus on transport delivery, fleet operations, customer freight requirements, and day-to-day linehaul performance. Position Responsibilities and Tasks: Supervise and support administrative staff across Holliers' office function, allocating workloads, monitoring output quality, and providing ongoing coaching and training to maintain efficient business support for linehaul operations. Coordinate staff onboarding administration process, including induction scheduling, completion of onboarding checklists, collection of required employment documentation, and distribution of Holliers policies and procedures to ensure new starters are workplace-ready and aligned with company standards. Manage day-to-day office operations for Holliers (diaries, correspondence, filing, document control and registers), ensuring timely and accurate handling of operational paperwork, customer communications, and compliance records required in a transport environment. Maintain transport-related documentation controls (e.g., booking confirmations, customer service correspondence, POD/consignment documentation registers, incident/issue logs, and general operational records) to support accurate reporting and audit readiness. Administer office budgets and monitor office expenditure, prepare expense summaries, and coordinate invoice processing workflows (receipting, coding support, approvals tracking and lodgement) for office and operational administration costs. Manage customer service administration by triaging enquiries, complaints and service requests, recording actions, and ensuring matters are progressed to the appropriate operational stakeholders in line with Holliers' service standards. Facilitate clear communication protocols between drivers, transport company managers, office staff and customers by maintaining accurate contact registers, distributing standard communications, and ensuring key updates are documented and actioned through established office procedures. Oversee office systems and software administration, including user access requests, maintenance of shared drives and templates, data integrity checks, and coordination with external IT/providers to support Holliers' operational systems (e.g., tracking/reporting platforms used for customer updates). Ensure office-based compliance with workplace health and safety requirements, including maintaining WHS office registers, coordinating training records, reporting hazards/incidents through the appropriate channels, and supporting implementation of safe work practices across business premises. Prepare and maintain routine office and compliance reports for management (e.g., onboarding status, training and licence/renewal tracking, office expenditure summaries, service-provider performance), escalating risks and gaps as required. Qualifications and Skills: Diploma or equivalent in business administration, logistics, or a related field. At least 1 year of experience in office management, preferable in the logistics or transport industry. Knowledge of compliance standards related to transport and logistics. High attention to detail and problem-solving skills. Strong organizational and multitasking abilities. Salary: This is a full-time position with competitive remuneration between $85,000 - $100,000 p.a. plus superannuation for a 38-hour work week.
