On behalf of Mr. Help Removals, we are looking for an experienced Office Manager. The successful candidate will be responsible for coordinating day-to-day office operations and administration to support smooth service delivery across bookings, customer communications, scheduling, compliance and back-office functions. This role ensure the office runs efficiently, information is accurate and up to date, and the operations team is supported with timely documentation, job preparation and customer service. Current Opening: This opportunity is a full-time position (38 hours per week). Position Responsibilities and Tasks Organise and coordinate office operations to support removals service delivery, including administration workflows, registers, templates, recordkeeping and document control. Receive and process customer enquiries and bookings (phone/email/website), confirm job scope, access requirements, service inclusions (e.g., packing), dates/time windows, and issue booking confirmations and customer communications. Prepare and maintain operational documentation for each job (quotes, booking details, run sheets, checklists, customer notes, terms/conditions acknowledgement, and service requirements) and ensure information is accurate and readily accessible to the operations team. Coordinate scheduling and resource allocation in line with daily/weekly demand, including staff/crew rostering support, truck and equipment availability, and packing materials planning. Liaise with customers, suppliers and internal staff to resolve booking changes, service issues and timing conflicts, escalating operational risks to management where required. Monitor inboxes, calls and workflow queues to ensure timely responses, follow-ups, and closure of enquiries, quotes and bookings. Support financial administration by preparing invoices/receipts, tracking deposits and payments, maintaining basic accounts records, and coordinating payroll/contractor administration (timesheets, leave records, expense claims) as directed. Maintain WHS and operational compliance records relevant to removals services (incident/complaints registers, staff onboarding documentation, policy acknowledgements, basic safety documentation and checklists) and ensure documents are filed correctly. Coordinate procurement and stock control for office supplies and packing materials; manage supplier invoices, ordering schedules and stock levels to avoid service disruption. Prepare regular internal reporting for management on bookings pipeline, utilisation, cancellations/variations, customer feedback, outstanding payments, and operational admin issues; recommend practical improvements to systems and processes. Qualifications and Skills: Diploma-level qualification in Business or Leadership & Management. Minimum 1 year of proven work experience in office administration, preferably within service, logistics and removals. Confidence in handling bookings/scheduling, customer communications, and invoice/admin processing. Strong office coordination and administration capability in fast-paced, customer-facing service business. Clear written and verbal communication. Strong planning and scheduling skills, including ability to coordinate resources against changing priorities. Competency using business systems (MS Office/Google Workspace) and ability to learn booking/CRM and invoicing platforms quickly. Salary: The role offers a remuneration package of $77,000 - $90,000 per annum, plus superannuation for a 38-hour work week.
