About the opportunity: Purpose Providing administration support to the Capital Transactions, Living Sector and Diversified Funds teams. Carry out all duties and responsibilities as detailed in this job specification in an efficient, courteous, proactive and professional manner. What you’ll be doing - Document execution: Responsible for coordinating document execution for all Capital Transactions acquisitions and divestments, including preparing documents, execution forms and coordinating signatories in Docusign. - Invoicing: Responsible for checking, coding and processing large volume of invoices for the team and tracking payment. - Travel arrangements: Coordinate travel arrangements for team members attending inspections, conferences/workshops and ad-hoc travel as required, including booking flights, accommodation and rental vehicles. - Calendar management: Schedule internal and external meetings for the Head of Capital Transactions, Head of Living Sectors and Diversified CEO and their respective teams. - Team meeting coordination: Arrange and coordinate team meetings, including setting agendas, sending out invites, booking meeting rooms, and ensuring necessary resources are available; and regular attendance / minute taking at scheduled team meetings. - Expense management: Assist Head of Capital Transactions, Head of Living Sectors and Diversified CEO in reconciliation of Mastercard receipts in the Workday expense system. - Data room management: Responsible for managing internal data rooms for partnership opportunities and divestments, adding buyer groups and uploading files. Downloading data from external groups data rooms for all acquisitions and opportunities. - Document & report management: Assist in preparation of presentations and reports, including acquisition/divestment reports, investor presentations, Board papers, committee papers and business update papers. Manage the transaction tracker for internal use. - Valuations: Assist the Capital Transactions team with the valuation management process for group funds including the setup and management of data rooms and liaising with Asset Manager’s to provide required reports. - Event planning: Organise team events including workshops, external conferences and social events. - Audit response: Support the collation of audit or RFI responses and manage the completion to the agreed timeline. - Deadline tracking: Keep track of project timelines, actions, and deadlines, sending reminders to team members as necessary to ensure timely completion. - General administration support: Distribute incoming mail and book outgoing couriers, maintaining and developing consistent processes for the team and other general ad-hoc administrative tasks as required.
