Competitive salary $70,000 - $80,000 Super Stable full-time opportunity Supportive team environment Project Coordinator We are currently seeking a highly organised Project Coordinator to support a busy team of Project Managers delivering works across multiple sites. This is an excellent opportunity for someone who thrives in a fast-paced environment and enjoys coordinating projects, managing documentation, and ensuring smooth project delivery from start to finish. This role requires a proactive and detail-oriented individual who can juggle multiple tasks, communicate effectively with internal teams and clients, and maintain accurate project records. Key Responsibilities Coordinate travel arrangements for Project Managers and site teams within project budgets and manage travel expenditure records. Accurately record and track monthly project revenue . Coordinate weekly project meetings , including preparation of documentation and meeting materials. Manage client invoicing in line with agreed payment terms and schedules. Process credit card payments for equipment hire and material purchases and liaise with Accounts. Perform accurate data entry of supplier receipts into relevant project systems. Coordinate equipment hire and delivery to ensure project timelines are met. Prepare and coordinate site documentation for shopping centres and project locations . Manage site inductions for staff and subcontractors. Prepare and maintain site safety documentation and site folders . Manage project workflows from project conversion through to closure within internal systems. Maintain subcontractor insurances and licences records. Proofread client quotes prior to submission. Assist with tender submissions and supporting documentation. Support new client onboarding and project setup . Prepare Minor Works and Commercial Works contracts . Provide administrative and coordination support to Project Managers to ensure successful project outcomes. Collaborate with internal teams to ensure smooth project handovers and budget alignment . About You To be successful in this role you will have: Previous experience in a Project Coordinator, Project Administrator, or similar role Strong administration and data entry skills with high attention to detail Excellent organisation and time management skills Ability to multi-task and prioritise competing deadlines Strong communication skills and ability to work with internal teams and subcontractors Ability to work independently and take initiative while maintaining high standards Experience with project documentation, invoicing, and subcontractor coordination (desirable) A positive attitude and strong teamwork ethic Requirements Must have full Australian working rights (Permanent Residency or Citizenship). Strong computer skills and experience working with project or business systems.
