About the role An exciting opportunity exists for an experienced Student Finance Coordinator, HE to lead and coordinate student finance operations across higher education programs. The role oversees fee administration, government reporting (including TCSI and FEE-HELP), and payment processing, ensuring accuracy, compliance, and efficiency. Responsible for supervising Student Finance Officers and managing team workflows, this position ensures all finance activities are completed on time and to a high standard. The role also contributes to process improvement, reporting enhancements, and compliance initiatives, supporting operational excellence and a seamless student experience. Key Responsibilities: Student Fee Management Support the Student Administration Manager, HE in: o the development, review, and publication of the annual Schedule of Fees and course pricing updates to ensure alignment with regulatory and institutional requirements. o Monitoring, verifying, and maintaining the accuracy of tuition fee and FEE-HELP data across systems, such as Student Management System (SMS), TCSI, and other related financial platforms Track FEE-HELP loan limits and proactively notify students approaching their maximum thresholds Monitor overdue student accounts and coordinate reminder, follow-up, and escalation processes in accordance with policy and service standards Authorise the issuance of Intention to Report (ITR) and Intention to Cancel (ITC) notices for non-payment of fees, and initiate student enrolment cancellations where appropriate and in compliance with legislative requirements Monitor and ensure accurate application of student scholarships, verifying eligibility and compliance with institutional policy and scholarship conditions Refunds, Remittals, and Adjustments Review and approve the following applications and financial record changes in accordance with institutional policies and legislative requirements: o Refund and remittal of fees applications o Post-commencement and post-census administrative adjustments to student financial records o Payment extensions and revised payment arrangements o Changes to payment plans or frequencies o Alterations to payment types, including transitions between FEE-HELP and upfront payments, or vice versa Oversee the accurate processing, documentation, and record-keeping of all approved financial adjustments to student accounts Student Support and Communication Provide clear and accurate information to students regarding their financial obligations, payment options, and refund outcomes Oversee the handling of complex or escalated student finance enquiries, ensuring consistent, and policy-compliant responses. Collaborate with internal teams to ensure student financial information is accurately reflected across systems and communications Promote transparency and consistency in all student finance communications . Oversee the Student Finance team in supporting the Student Experience team to ensure students receive accurate, consistent, and timely advice regarding tuition fees, payment schedules, financial obligations, and key financial deadlines. Team Leadership and Coordination Supervise and mentor Student Finance Officers, ensuring accuracy, consistency, and adherence to service standards . Coordinate daily workflows, allocate tasks, and oversee performance outcomes. Provide ongoing training and guidance to support team development and operational efficiency . Foster a culture of accountability, collaboration, and continuous improvement Reporting and Process Improvement Prepare, analyse, and present financial and compliance reports on tuition fees, payment status, FEE-HELP utilisation, and outstanding accounts . Review student fees and TCSI data to identify discrepancies, risks, and process inefficiencies. Collaborate with internal relevant teams to improve data accuracy and streamline workflows across systems . Contribute to projects that enhance efficiency, data integrity, and student service quality in student finance operations Develop and maintain documentation for student finance procedures, policies, and process maps Support internal and external audits by maintaining accurate records and ensuring compliance with reporting standards Education, Experience & Skills Bachelor’s degree in Business Administration, Education, or a related field (or equivalent experience) Minimum 3 years’ experience in student finance or higher education administration . S trong understanding of FEE-HELP, HESA, and TCSI reporting requirements . Proven ability to manage complex financial data and compliance processes . Leadership experience with the ability to mentor and coordinate a small team . Excellent organisational, analytical, and communication skills . High attention to detail and accuracy in financial data management . Proficiency in Student Management Systems and Microsoft Office 365. Ability to work collaboratively with multiple stakeholders and meet strict deadlines . Why Join us?
