Position Summary : The Reception & Customer Service Officer is the first point of contact for customers and plays a critical role in delivering a professional, friendly, and responsive experience for all callers and visitors. The role is responsible for managing incoming calls, scheduling service bookings, supporting administrative tasks, and providing coordination support to the Service, Projects, and Sales teams. This position ensures accurate communication, efficient office operations, and a consistently high standard of customer service across the business. Key Requirements : Demonstrated experience in a reception, customer service, or administrative support role. Strong verbal and written communication skills, with a friendly and professional manner. High attention to detail and accuracy when handling bookings and information. Strong organisational skills, with the ability to manage multiple tasks in a fast-paced environment. Customer-focused mindset with the ability to handle enquiries and issues calmly and professionally. Reliable, punctual, and able to work effectively as part of a team. Demonstrated professionalism and discretion when handling sensitive information. A strong commitment to workplace health and safety, demonstrated through compliance with office safety requirements and company procedures. Job Responsibility : Reception & Customer Service Answer incoming phone calls and greet visitors in a professional and courteous manner. Respond to customer enquiries and direct calls to the appropriate team members. Maintain a positive and professional first impression of the business. Scheduling & Coordination Schedule service bookings and appointments in line with technician availability and operational priorities. Update booking systems accurately and communicate changes to relevant teams. Support the Service team by managing customer communication around scheduling and attendance. Administrative Support Provide general administrative support to Service, Projects, Sales, and Administration teams. Maintain accurate customer and job records within business systems. Assist with documentation, data entry, and filing as required. Communication & Support Act as a key communication link between customers and internal teams. Escalate urgent issues or customer concerns to the appropriate manager. Support continuous improvement of customer service processes. Safety, Compliance & Conduct Comply with company policies, procedures, and office safety requirements. Maintain professionalism, confidentiality, and discretion at all times.
