About the role We are seeking a highly organized and proactive Office Manager to oversee the daily administrative and operational functions of our office. The Office Manager will be instrumental in ensuring a smooth and efficient work environment, supporting our team, and contributing to the overall success of our powder coating operations. Duties and Responsibilities Providing advice, comprehensive reports, and recommendations to senior management on administrative and operational matters. Managing the acquisition, storage, distribution, and maintenance of office equipment and supplies. Identifying and recommending business opportunities and efficiencies to improve office workflow and reduce costs. Preparing, reviewing, and monitoring operational budgets in consultation with senior management. Manage general office administration, including filing, correspondence, quoting and record-keeping. Oversee office supplies, equipment, and facility maintenance, coordinating with vendors and suppliers as needed. Handle incoming calls, emails, and general inquiries, directing them to the appropriate area for resolution/ action. Assist with financial administration such as processing invoices, and supporting budget tracking. Implement and maintain efficient office policies and procedures. Manage incoming orders and Coordination of logistics for customer orders requiring delivery/ pick up Order management and scheduling of operations workflow across 3 booths and sandblasting Ensuring the workplace is compliant with all relevant regulations, including Work Health and Safety (WHS) standards, and updating safety tools and managing MSDS register, scheduling required safety maintenance Essential Skills Ability to lead, motivate, and develop a team of administrative staff. Exceptional verbal and written communication and interpersonal skills. Proactive and resourceful with strong analytical and problem-solving capabilities. Meticulous attention to detail and a high level of accuracy. Ability to handle sensitive information with discretion and maintain confidentiality. A self-starter who can work autonomously with minimal supervision. A professional demeanour and a positive attitude. Demonstrated experience in supervising and leading a team. High-level proficiency in the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Strong understanding of office management procedures, systems, and best practices. Excellent organisational, planning, and time management skills with the ability to prioritise tasks and meet deadlines. Strong financial acumen with experience in budget preparation and management. Knowledge of Work Health and Safety (WHS) legislation and its practical application in an office environment.
