About the role The Contract Administrator is responsible for the commercial and contractual management of construction projects from tender to final account. This role involves managing all aspects of procurement, subcontract administration, cost control, and contract management to mitigate risk, maximise financial performance, and ensure project objectives are met in accordance with contractual requirements. Duties and Responsibilities Contract Management Prepare, review, and negotiate head contracts, subcontracts, and supplier agreements. Administer all contractual matters throughout the project lifecycle, ensuring compliance with terms and conditions. Manage and process contractual correspondence, including notices, claims, variations, and extensions of time (EOTs). Identify, assess, and manage contractual risks and opportunities. Maintain comprehensive contract registers and ensure all documentation is accurately filed and managed. Assist in the resolution of contractual disputes and claims. Procurement and Subcontractor Management Develop detailed scopes of work for various trade packages. Prepare and issue tender documents to potential subcontractors and suppliers. Conduct thorough analysis and comparison of tender submissions. Lead negotiations with subcontractors and suppliers to achieve commercially favourable outcomes. Prepare subcontract agreements and purchase orders for execution. Manage subcontractor relationships, including performance monitoring and compliance checks. Financial Management and Cost Control Assist the Project Manager with the preparation and management of the project budget and cost forecasts. Prepare and submit progress claims to the client in a timely and accurate manner. Assess, certify, and process subcontractor progress claims, invoices, and payments. Track all project costs, variations, and potential cost exposures against the budget. Prepare regular and accurate cost reports, including cost-to-complete statements and cash flow forecasts. Manage project financial close-out, including the preparation and agreement of final accounts with the client and subcontractors. Project Administration and Reporting Establish and maintain meticulous project records, including all correspondence, drawings, and financial documentation. Prepare and present regular reports to the Project Manager on the commercial and contractual status of the project. Liaise effectively with the project team, clients, consultants, subcontractors, and other stakeholders. Manage project-related insurances, bank guarantees, and other securities. Assist with project close-out procedures, including defect liability management and the collation of handover documentation.
