Due to continued growth and increasing workflow complexity, we are seeking a highly organized and detail-oriented Program & Project Administrator to support the coordination and administration of multiple client engagements across the practice. This role is critical in ensuring structured workflow management, regulatory compliance tracking, and effective coordination between accounting teams and clients. About the Role The role (Client & Operations Administrator) will be responsible for planning, coordinating, and monitoring multiple concurrent client engagements to ensure services are delivered efficiently, accurately, and within statutory deadlines. The position will work closely with senior accountants and management to maintain structured processes, optimize workflow capacity, and support continuous improvement initiatives across the firm. Key Responsibilities Coordinate and oversee client engagement workflows across bookkeeping, taxation, compliance, and advisory services to ensure timely and accurate service delivery Develop, maintain, and monitor project schedules, task allocations, and milestone tracking for multiple client engagements Track compliance deadlines of tax returns, financial statements, and ASIC obligations to ensure all statutory requirements are met Maintain accurate project documentation, client records, engagement files, and compliance registers in accordance with professional and regulatory standards Prepare regular project status reports, workflow performance summaries, and KPI tracking reports for senior management Monitor workflow capacity and resource allocation across accounting teams to optimize productivity and meet client deadlines Liaise with clients, accountants, external regulators, and other stakeholders to coordinate information flow and resolve operational or compliance-related matters Assist in financial monitoring of engagements, including tracking budgets, billing progress, and cost control measures Support implementation of internal systems, workflow automation tools, and process improvement initiatives Contribute to risk identification and quality assurance processes to ensure engagements comply with internal policies and industry standards Coordinate on boarding documentation, internal training schedules, and cross-team communication to support structured project execution Assist management in continuous improvement initiatives by reviewing procedures and recommending workflow enhancements Skills & Experience Required Demonstrated experience in program, project, or operational administration Strong organizational and time management skills with the ability to manage multiple concurrent tasks Experience in compliance tracking, deadline management, or workflow coordination Advanced documentation, reporting, and stakeholder coordination skills Proficiency in Microsoft Office and practice management or workflow systems High attention to detail and ability to maintain confidentiality Relevant tertiary qualification or equivalent professional experience Why Join Us Work within a professional and growing accounting practice Opportunity to contribute to operational improvement and structured workflow management Collaborative and supportive team environment Long-term career stability within a reputable firm
