The Role: As the Process Coordinator – Cross-Functional Integration Lead, you will be the vital link between our departments, including Product, Engineering, Marketing, Sales, and Customer Support. Your primary mission is to design, implement, and manage streamlined processes that ensure seamless collaboration, eliminate silos, and drive the successful integration of key initiatives across the company. You are a master of organization, a clear communicator, and a proactive problem-solver. Key Responsibilities: Interdepartmental Bridge: Serve as the contact and facilitator between Operations, Tech, BA, and AI teams across all Adpost Group branches. Process Mapping & Documentation: Maintain and evolve process documents, workflow diagrams, and ownership matrices for all key company operations, tailored to Sydney’s structure. Unified Project Coordination: Oversee local project lifecycles from kickoff to delivery, tracking dependencies, risks, milestones, and communications across Sydney teams. Meeting & Action Facilitation: Schedule cross-branch sync meetings, drive agendas, capture minutes, and ensure completion of action items. Gap Analysis: Coordinate closely with management and leadership teams to regularly identify gaps in current processes and develop actionable roadmaps to address and resolve those gaps, ensuring continuous improvement and future-readiness. Systems & AI Integration Support: Partner with business analysts and tech leads to implement new digital solutions and guarantee integration into existing workflows. Risk & Change Management: Identify process bottlenecks, escalate critical issues, and participate in rapid resolution for the Sydney operations environment. Training & Rollout: Ensure new processes and tech solutions are communicated, trained, and adopted across all Sydney-based departments. Performance Reporting: Compile and deliver regular reports on operational efficiency, project status, and technology/AI uptake. Continuous Improvement: Gather feedback, propose optimizations, and champion pilots for new tech relevant to printing, distribution, and promotions. What We're Looking For (Qualifications): Bachelor degree with one year of work experience Exceptional organizational and project management skills, with a keen attention to detail. Outstanding verbal and written communication skills, with the ability to distill complex information for different audiences. Strong facilitation and interpersonal skills; a natural diplomat who can build trust and foster collaboration among diverse teams. Analytical mindset with a passion for problem-solving and driving continuous improvement. Proficiency with modern project management and collaboration software (e.g., Jira, Asana, Smartsheet, Confluence). Experience in an agile or tech-driven environment is highly desirable.
