Office Manager - Melbourne-based medical charity Kogan People Solutions is looking for a highly capable Office Manager to join a Melbourne-based medical charity. This organization connects Australian medical researchers with an international hospital network to share knowledge and fund new healthcare technology. We need a practical, organized professional to run the office efficiently and support a busy team so they can focus on their work. Location: Clayton, Victoria Salary : Negotiable in the range $90k to $100k plus superannuation per annum Tenure – full time, ongoing Role purpose The Office Manager will perform a central administration coordination role, ensuring the smooth, efficient, and professional operation of office administrative functions for the organisation. Reporting to the CEO, the Office Manager will oversee daily office operations, workflow processes and administrative systems that enable the organisation to achieve its strategic objectives. Key responsibilities Office and Operational Management Plan, coordinate, and manage day-to-day office administrative and operational functions Establish, maintain, and improve office systems, processes, and administrative workflows Manage and delegate responsibilities to direct reports as the organisation expands. Manage documentation, records, reporting systems, and information management. Coordinate office resources, service providers, suppliers, and operational requirements. Ensure administrative compliance with relevant Australian policies, procedures, and regulatory obligations. Coordinate administrative aspects of healthcare innovation and collaboration programs. Support the planning, tracking, and coordination of program timelines, deliverables, and reporting requirements Maintain oversight of documentation and administrative processes associated with innovation initiatives and partnerships Support the preparation of reports, briefs, and updates relating to program activity and outcomes Other duties Support knowledge-sharing activities by organising materials, meetings, and engagement forums. Coordinate logistics for meetings, workshops, site visits, conferences, and professional events. Support strategic initiatives by coordinating inputs, timelines, and documentation. Ensure accurate record-keeping and document control in line with organisational requirements. Support internal governance and reporting processes as required Required skills and experience At a minimum, a highly relevant Diploma or agreed substitute is expected but a higher qualification would be highly regarded. At least 1, preferably more, years demonstrated experience in office management and administration roles in similarly internationally focussed organisations Strong organisational, documentation, and process management skills Ability to manage competing priorities and work across multiple projects simultaneously High-level written and verbal communication skills Ability to work independently and exercise sound judgement in a senior administrative role Experience working in healthcare, research, not-for-profit, or international environments is highly regarded Key characteristics High level of discretion and professionalism Strong attention to detail and organisational discipline Ability to operate confidently in a complex, multi-stakeholder environment Cultural sensitivity and comfort working across international contexts You must have unrestricted full time Australian working rights to be considered.
