Title: Conference & Events Executive Reports To: Conference & Events Sales Manager Position Overview:The Conference & Events Executive assists the Conference & Events Sales Manager in the execution of sales related activities that are aligned to guest needs, experience and C&E budgets. Duties provides professional, courteous, and helpful service to guests and/or customers. This position works closely with internal stakeholders from other hotel departments to ensure events are planned and executed professionally and efficiently. Our Goals Growing revenue above market Maximise assets Business transformation Our Values Empowerment: We make it happen Possibilities: We evolve and innovate Community: We make the connection Key Accountabilities Effectively administer and coordinate all conference sales and administration requirements for a range of events including conferences, meetings, banquets, social and weddings (dependent on location) Handle sales enquires via calls and online, book appointments, assist in lead generation and enquiry follow up Executes both reactive and proactive sales activity to meet hotel C&E budgets Arrange and carry out Hotel site inspections with clients, customers and where required third party providers To up sell and suggestively sell additional items to enquiries, customers and client to increase revenue spend Appropriate best practice understanding and maintenance of the IVvy event management system including details of sales activity, client information, tentative and confirmed bookings including invoices. Best Practice understanding and maintenance of conference database of key contacts / clients , ensuring accuracy and clean data for future use and effective communication Prepare regular reports as directed by local management team or Group Sales team and adhoc reports where requested To effectively and in a timely manner communicate with Reservations regarding room blocks Answer all correspondence and enquiries received during the working week within 24 hours of receipt; maintain good public relations with clients Works with other departments to maximise sales opportunities and customer / guest satisfaction and experience, generating and driving revenue and repeat business Track and proactively gain insights for reasons of lost business and enter appropriately into Ivvy, escalating to management where appropriate to ensure EVT is always competitive in market Keep abreast of hotel localised and EVT national C&E campaigns Perform other duties as required by the leadership team relating to sales and the efficient execution conference and event activities to maximise guest experience Key Performance Indicators Assist the manager with accurate C&E sales forecasting Achieving budget with particular focus on the C&E Sales budgets and targets Customer feedback through NPS and other mechanisms as determined such as Trust You Skills & Experience These are the desired skills and experience for this role: Demonstrated previous experience working in a similar role Knowledge of hotel operating systems, e.g., Opera, iVvy Behavioral Capabilities Collaboration: Accepts and appreciates other people; demonstrates courtesy and compassion; supports, encourages, and thanks others; consults, listens, and understands others; promotes diversity and builds morale, team cohesion, and collaboration.
