They currently have a position available for a Customer Service Representative to join the existing team. Job Summary: Highly organised and detail-oriented Customer Service Representative to manage the administrative and logistical processes related to vehicle preparation and delivery. This role involves coordinating with internal teams and external partners to ensure all necessary paperwork, vehicle servicing, and transport arrangements are completed efficiently, providing a smooth and professional experience for customers. Key Responsibilities Documentation & Compliance: Review and verify all necessary paperwork for each vehicle before delivery. Follow up on any missing documents and coordinate with relevant teams. Send required paperwork to customers for third-party deliveries. Work with the licensing team to ensure vehicles are correctly registered. Vehicle Preparation & Coordination: Liaise with the reconditioning team regarding outstanding work, including recalls and parts. Schedule vehicle cleaning and aftercare services (e.g., tinting, protection packages) using the VMS system. Arrange external aftermarket services such as dashcam installations, towbars, and rustproofing. Coordinate with the PD (Pre-Delivery) team to track vehicle locations and resolve any cleaning issues. Delivery Management: Use Outlook Calendar to schedule and manage vehicle deliveries. Confirm delivery dates and times with customers. Coordinate with external inspection services (e.g., RAC, Ultratune). Arrange transport logistics through CEVA and other providers. Ensure smooth vehicle handovers, providing customers with basic operational details. Address any delivery issues, including missing spare keys, mechanical concerns, or logbooks. Key Requirements: Strong organisational and multitasking skills. Excellent communication and coordination abilities. Experience in logistics, administration, or vehicle operations is preferred. Ability to work collaboratively with multiple teams and external partners. Proficiency in Outlook and vehicle management systems (VMS). A high school diploma or equivalent Police Clearance A valid driver's license.
