You will be responsible for managing a broad range of engagements, events, and tasks that support the effective and professional operation for our client. Executive Assistant and & Coordinator An opportunity is available for a highly organised and proactive Executive Assistant and Civic Coordinator to support a senior civic representative and contribute to the smooth delivery of administrative, ceremonial and community-focused functions. About the role This position provides high-level administrative support, manages a complex and dynamic schedule, coordinates civic events and receptions, and ensures all activities follow appropriate protocols. The role requires strong attention to detail, excellent communication skills and confidence working in a political and community-facing environment. Key responsibilities Manage a senior representative's diary, including meetings, briefings, site visits, invitations and official engagements, and ensure accurate distribution of briefing materials. Prepare correspondence, agendas, meeting notes, presentations and other administrative documentation. Liaise with officials and stakeholders, ensuring correct protocol is followed. Plan and deliver special projects, events, forums and civic or ceremonial functions. Arrange domestic and international travel, including itineraries and supporting documentation. Maintain stakeholder and community databases, gift registers and statistical reporting on activities. Support financial processes, including purchase orders, invoices and payment card reconciliations. Manage operational supplies including stationery, printing, catering and civic gifts. Demonstrate organisational values, expected behaviours and compliance with all safety and reporting requirements. About you You will be a confident and adaptable administrative professional, capable of managing shifting priorities and working with discretion in a high-volume environment. You will thrive in a role that requires coordination, stakeholder engagement and exceptional organisation. Essential criteria Certificate IV or Diploma in Business Management, Public Sector Administration or a related discipline. Current Driver Licence. Current registration or clearance to work with vulnerable people. Demonstrated experience providing high-quality administrative support across multiple stakeholders. High-level proficiency in document formatting, spreadsheets, content management systems and databases. Strong ability to plan, prioritise and deliver accurate work under pressure. Understanding of local government operations or experience working within a political or sensitive environment. Well-developed organisational skills and ability to manage multiple tasks simultaneously. Strong teamwork capability and ability to work within role boundaries. Capacity for self-reflection and alignment with organisational behaviours and values.
