Working from the Luddenham Project Office in Western Sydney as the Project Site Administrator, you'll report into the Construction Manager and provide comprehensive administrative and coordination support to the project team, ensuring efficient site operations, accurate document control, effective onboarding, and compliance with project and company procedures. This role is critical in maintaining organised systems, supporting project reporting, and acting as a key liaison between site personnel, head office, clients, and subcontractors. Detailed key responsibilities of your role will cover. Document & Systems Management Audit and maintain project folders and subfolders to ensure accurate, consistent, and duplicate-free documentation. Maintain and update document distribution lists and a documentation distribution matrix. File, track, and update delivery dockets and project records. Prepare weekly zip folders of signed Daily Force Reports and distribute via TeamBinder. Assist with invoice downloads and supporting documentation from Procore as required. Monitor and track Purchase Order (PO) approvals through Procore. Office & Site Administration Coordinate workstation and office allocations and relocations. Manage incoming PPE orders in coordination with site personnel, including allocation, stock control, and record keeping. Organise project-specific merchandise in line with company branding requirements. Raise and track purchase orders for office stationery, PPE, and site consumables. Onboarding & Access Coordination Coordinate seamless onboarding for new starters with HR and project teams, including PPE, workspace setup, system access, and timesheet support. Contact & Distribution List Management Maintain accurate project and company contact lists, regularly auditing and updating personnel details and managing all email and communication distribution lists. Meetings & Reporting Support Drive efficient meeting and reporting workflows by coordinating meetings end‑to‑end, tracking and closing out actions, and preparing clear daily and project reports. About you You are an all‑round Project Administrator with strong system capability and solid document control experience, bringing exceptional organisation, attention to detail, stakeholder coordination, and the ability to manage competing priorities in a construction or project‑based environment. You're confident across key digital platforms, including Procore, SharePoint, TeamBinder, DocuSign, timesheet systems, and the Microsoft Office Suite, enabling you to support project teams efficiently and accurately.
