Your Role & Team In this newly created role as Office Coordinator, you will be responsible for the day‑to‑day running of our Melbourne office. This role ensures the office environment is professional, welcoming, efficient and well‑maintained. You will oversee office operations, support internal communications, coordinate events, and assist with light Executive Assistant duties as required. Please note, it's a part-time opportunity (3 days - 20 hours per week) and will require you to work out of our Melbourne CBD Office. Some of your responsibilities include and are not limited to: Office Operations & Administration Oversee day-to-day office operations, including supplies, equipment maintenance, cleaning services and overall office presentation. Manage office logistics such as mail, inventory (including employee merchandise) and corporate card expenses. Provide general administrative support, including minute taking, follow-ups and ad hoc requests. Support employee onboarding and off-boarding, including office access, tours and setup. Coordinate domestic travel bookings, including flights and accommodation. Internal Communications & Culture Drive internal communications via Slack, email and office displays to keep teams informed and engaged. Maintain and update LDC screens with relevant, timely content. Coordinate monthly all-staff meetings and in-office wellbeing initiatives in partnership with the wider team. Employee Experience & Office Hospitality Act as the first point of contact for the office, welcoming visitors and managing couriers. Manage office hospitality, including groceries, catering, drinks and meeting room setup. Support internal events, client meetings and marketing activities, ensuring smooth logistics and a great experience. Coordinate staff rewards, incentives and client gifting. Ad Hoc & EA Support Provide light executive assistance when required, including scheduling and document preparation. Support ad hoc requests from the Melbourne office and broader executive support team. Our ideal candidate Experience in office coordination, administration, reception, facilities support or a similar role. Experience managing competing priorities and working with limited supervision. Highly organised with strong attention to detail and the ability to prioritise effectively. Calm under pressure and comfortable managing the expectations of a fast‑paced office. Confident communicator who can respectfully push back when necessary. Self‑driven and proactive, able to identify tasks independently rather than wait for direction. Strong interpersonal skills and a friendly, approachable manner.
