About the role Your role as Project Administrator will provide strong administrative support to the Innovation and Projects Office. The Administrator is a key role in providing support to the services including governance and the end to-end project and program activities. Due to an internal promotion, this is an exciting role for an experienced Project Administration, reporting to the Program Manager in the Innovation and Projects Office. Key responsibilities Manage daily Innovation and Projects Office (IPO) operations to enhance efficiency and support strategic objectives. Assist in streamlining and maintaining PMO processes, templates, and tools. Ensure project delivery aligns with governance frameworks and standards. Assist and organise procurement activities and contract management deliverables with end-to-end project management activities. Develop, deliver and maintain project artefacts, project proposals, documentation and presentations. Review and reconcile vendor timesheets to invoices, accurate financial reporting. Provide administrative and coordination support to project managers, subject matter experts, and steering groups. Who you work with You are supported by the PMO lead and Program Manager to support the business to deliver and govern projects. You work closely with Project Managers, Subject Matter Experts, Business Analysts, Change Analysts to achieve outcomes, share skills and knowledge. You build relationships across VMIA related to program and project deliverables as required. You ensure key stakeholders are effectively managed, with the aim of supporting delivery. You collaborate with colleagues across VMIA teams to bring the best practices, processes and frameworks to deliver outcomes. Experience you draw from Experience providing administrative and coordination support within a team, PMO or project environment. Confidence managing invoices, purchase orders, meeting agendas, minutes and action tracking. Strong organisation and attention to detail, with the ability to prioritise tasks and keep work moving. Comfortable using business systems and project tools (e.g. spreadsheets, document management, Jira or similar) and learning new platforms.
