First Nations Targeted Opportunity – We warmly encourage and welcome your applicationAbout RoleThis newly created Operational Support Officer Role in our Client and Community Connections Team will provide high quality operational and administrative services to support the Head of Client and Community Connection, and their respective leadership teams. This position will also support settlement, youth, community connections, community Hubs and related early years contracts.About YouYou will have demonstrated track record in either Personal Assistant or Executive Assistant roles across commercial, NFP or government organisations. You will have a passion for detail, organisation skills and demonstrated ability to work in a fast-paced environment.Key ResponsibilitiesAnticipate, organise, and coordinate workflow through expert diary and email management.Prepare and manage all correspondence, meeting documentation, and minutes.Coordinate media and speaking engagements, manage enquiries and invitations, and collaborate with Marketing & Communications to evaluate and prioritise opportunities.Draft and prepare correspondence, high-level reports, speeches, and PowerPoint presentations; conduct research to support meetings and public engagements.Arrange and manage travel, accommodation, expenses, filing systems, and administrative needs.Attend key meetings and progress reviews; track action items and execute tasks on behalf of senior leaders where appropriate.Develop and maintain a strong understanding of SSI’s operations, processes, and people to ensure aligned and effective support.Maintain and enhance administrative practices, systems, and procedures to improve efficiency and service delivery.Manage multiple projects through to completion using sound project management principles to meet stakeholder expectations and deadlines.Work constructively and collaboratively in alignment with SSI’s values and comply with all organisational policies and statutory obligations, including WHS, child protection, and EEO requirements.Participate in regular performance reviews and work in accordance with an individual work plan.Key Skills and Experiences Essential Criteria Demonstrated experience in partnering with senior leaders to ensure all needs are anticipated and met.Previous experience in providing support to Senior Leadership team members.Strong organisational skills with the ability to take ownership and accountability for deliverables.Demonstrated ability to coordinate, plan proactively and streamline processes.Meticulous attention to detail and high-level problem-solving skills.Proven high-level interpersonal skills with the ability to consult, liaise and negotiate effectively with multiple stakeholders in a diverse environment.The ability to adapt quickly to changing internal and external organisational environment and translate this into appropriate actions and responses.Technology and Digital Proficiency including using MS office.Strong written and verbal communication skills.Ability to work independently and collaboratively in a team environment.Strong problem-solving and decision-making abilities.A highly resourceful team-player, comfortable working in a fast-paced environment, sometimes under pressure, while remaining flexible, proactive, and efficient.You will be a champion in supporting a respectful, non-judgmental, inclusive culture that promotes and upholds human rights and maintains an environment of trust, transparency, and accountability.
