About the role The Student Finance Officer, HE is responsible for the accurate and timely processing of student financial transactions, including FEE-HELP administration, refunds, and scholarships. The role supports the day-to-day operations of the Student Finance function, ensuring all financial data is maintained in accordance with institutional policies and government legislation. Working under the direction of the Coordinator, the Officer contributes to the integrity of student financial records, assists with reporting and compliance tasks, and provides responsive, student-centred support. Key Responsibilities: Student Fee Management Process tuition fees and adjustments in accordance with approved course pricing and the published Schedule of Fees Maintain accurate and up-to-date fee information in the Student Management System (SMS) and related financial platforms and report anomalies or discrepancies to the Coordinator. Support the tracking and follow-up of overdue student accounts Issue payment reminders and Intention to Report (ITR) or Intention to Cancel (ITC) notices for overdue or unpaid fees. Support the administration and tracking of student scholarships. Maintain accurate FEE-HELP records and assist in monitoring student loan limits. Support the verification of TCSI FEE-HELP data and resolution of validation errors. Refunds, Remittals, and Adjustments Review and verify documentation for all refund and remittal of fees requests to ensure completeness, accuracy, and compliance with institutional policy and Higher Education Support Act (HESA) requirements Accurately update student financial records following approved refunds, remittals, and administrative changes made post-commencement or post-census Process approved due date changes, including payment extensions, revised payment plans, and transitions between payment types (e.g., PBT, PBM, FEE-HELP, upfront payments) Student Support and Communication Provide accurate and timely advice to students regarding their financial obligations, payment options, and refunds. Respond to student finance enquiries, maintaining professionalism and confidentiality. Escalate complex or policy-sensitive matters to the Student Finance Coordinator. Contribute to maintaining clear and consistent student finance communication templates and FAQs. Assist the Student Experience team in providing students with accurate information and guidance on tuition fees, payment options, and key financial dates in accordance with approved policies and procedures Operational and Administrative Support Assist with the generation of student finance reports and other administrative documentation as required. Contribute to continuous improvement initiatives aimed at enhancing student finance workflows and service delivery. Collaborate effectively with internal teams to resolve system or process issues that affect student fees. Assist in preparing documentation and data for internal and external audits Provide administrative support to the broader Student Administration function as directed. Education, Experience & Skills Certificate IV or Diploma in Business Administration, Education, or a related discipline, or equivalent relevant experience A minimum of 1–2 years’ experience in student finance or higher education administration. Strong attention to detail and accuracy in financial data processing. Knowledge of FEE-HELP, HESA, and TCSI requirements (preferred but not essential). Experience using Student Management Systems and Microsoft Office 365. Excellent communication and interpersonal skills with a student-focused approach. Ability to manage competing priorities and maintain accuracy under pressure. Demonstrated commitment to compliance, confidentiality, and continuous improvement. Why Join us?
