About the role: The Executive Assistant (EA) to the Chief People Officer (CPO) and Chief Technology Officer (CTO) is a senior leverage role, designed to enable both executives to operate at enterprise scale by providing judgement‑based support, prioritisation, and orchestration across People, Culture & Performance and Development. This role is designed as a full‑spectrum executive support role. While not intended to be a traditional administrative catch‑all, it requires maturity, discretion, and flexibility to operate across strategic, operational, and practical domains where required, particularly in a lean or evolving operating model. The EA acts as a trusted partner, gatekeeper, and force multiplier, ensuring the CPO’s and CTO’s time, attention, and energy are focused on the highest-impact priorities. Office-based duties such as oversight of shared spaces (including kitchens), food and meeting catering coordination, and welcoming and orienting new starters have traditionally sat within the EA role. These responsibilities were temporarily allocated to the P&C Coordinator to provide short-term support and will transition back to the EA role following completion of the Coordinator’s six-month contract. The role balances executive effectiveness and business coordination with visible, on-the-ground presence in the Adelaide office, ensuring a professional, welcoming, and well-run environment. What you will do: Executive Leverage & Prioritisation: Act as a trusted partner to the CPO and CTO, managing priorities, flow of work, and decision cadence across both portfolios. Apply sound judgement to triage requests, information, and issues, determining what requires executive involvement versus what can be progressed independently. Serve as a gatekeeper, protecting executive time while enabling effective access for key stakeholders. Anticipate upcoming demands, risks, and decision points to ensure both executives are well prepared and focused. Executive & Board Readiness: Ensure the CPO and CTO are thoroughly prepared for executive, Board, and leadership meetings, including clarity on objectives, context, key messages, and desired outcomes. Coordinate preparation of Board and executive materials, working with relevant stakeholders to ensure quality, accuracy, and timeliness. Take minutes, track actions and commitments arising from team or project meetings, ensuring follow‑through and momentum. Project & Functional Orchestration: Support the rhythm and delivery of functional priorities spanning People, Culture & Performance and Technology. Provide light‑touch project coordination for initiatives where required, focusing on progress, dependencies, and risk. Act as a connective point across the executive team to surface misalignment, delays, or emerging issues for the CPO and CTO. Oversee the successful delivery of team deliverables including bookings and planning of internal and external meetings, including capturing action items. Face-to-face & Admin Support: Act as the on‑the‑ground presence in Adelaide for the CPO and CTO. Coordinate and manage face‑to‑face requirements including executive hosting, leadership forums, key meetings, and office readiness. Handle practical, in‑person matters requiring judgement, discretion, and responsiveness, including ad‑hoc executive or office needs that cannot be delegated offshore. Support with meeting organization eg. food and coffee etc. Support in ensuring the office environment is clean and well-maintained. Arrange detailed travel plans, itineraries, and agendas, as well as working with PCP for the required visas. Support with coordination of internal and external events as required. Ensure CPO and CTO is appropriately briefed for all external and internal meetings including objectives, background on key attendees and messaging where presentation is required. Prepare and edit correspondence, communications, presentations, and other documents Process and reconcile expense reports in a timely manner. Prepare and manage confidential documents, reports, presentations, and correspondence. Who you are: Essential Significant experience as an Executive Assistant or similar role supporting C‑suite or senior executives. Demonstrated ability to operate with judgement, discretion, and autonomy in complex environments. Strong organisational, prioritisation, and problem‑solving capability. High‑quality written and verbal communication skills. Proven ability to manage sensitive and confidential matters. Strong relationship‑building and stakeholder management capability. Desirable Experience supporting People & Culture, Strategy, or Scientific functions. Exposure to Board and executive governance processes. Experience working in organisations undergoing growth or transformation. Calm, confident, and highly trusted. Proactive, anticipatory, and solutions‑focused.
