Description This role is a 12month maternity leave cover position Time worked - 3 days per week (Mon - Wed) 40 weeks per year term time (stood down school holidays) Desired start date 21 Jan 2026 - open to negotiation for the successful candidate The Administration Assistant is a committed Christian who will assist with clerical and administrative support in order to facilitate the effective and efficient organisation of the office. This person must have strong interpersonal skills and a hardworking and dedicated attitude. The VET / SBAT Administration Assistant will provide essential support to the VET Coordinator in managing Vocational Education programs. This role ensures the smooth administration of VET and SBAT programs, including compliance, enrolments, students support, and coordination of key processes. Specific responsibilities include but not limited to the following: Administrative Support • Assist with the organisation and administration of VET and SBAT programs. • Manage student enrolments, including finalising EVET enrolments and uploading required forms. • Maintain and update VET-related documentation, policies, and procedures. • Coordinate data entry and record-keeping in aXcelerate, TASS, and NESA. • Ensure student Unique Student Identifiers (USIs) are verified and submitted. • Follow up any outstanding documentation. Work Placement & Industry Liaison • Assist in scheduling and organising work placements, including updating the placement calendar. • Coordinate communication with students, parents, and external providers regarding work placements. • Support the development and distribution of work placement forms and acknowledgement documents. • Assist with the coordination of incursions (e.g., Youth Express, RSA training) and liaise with RTOs. Compliance & Record-Keeping • Support the VET Coordinator in ensuring compliance with NESA and AISNSW requirements. • Assist in audit preparation, including the maintenance of accurate records. • Manage documentation related to work placement, training plans, and SBAT requirements. • Monitor key curriculum deadlines and ensure required reports are submitted on time. Communication & Coordination • Act as a key point of contact for students, parents, and staff regarding VET matters. • Assist in the preparation of correspondence, newsletters, and reports related to VET programs. • Support marketing initiatives for VET programs, including updating brochures and website content. • Liaise with external training organisations, employers, and industry bodies to support student training and placement. Professional Development & Events • Log and track staff professional development sessions in aXcelerate. • Assist in planning and organising VET-related professional learning and workshops. • Support student orientation sessions and induction programs for VET students. • Organise and manage orders for student uniforms and training resources. ESSENTIAL QUALIFICATIONS AND SKILLS Displays qualities of a committed and growing Christian who is an active church member. Qualifications in business administration and / or equivalent experience in an office setting. Highly developed time management skills. High level detail and demonstrated ability to meet deadlines and effectively manage multiple projects including the organisation of events and functions. Strong communication, interpersonal and public relations skills to enable professional interaction with a range of people including senior management, staff, students and community members. Well-developed keyboard and computer skills with a demonstrated knowledge of the Microsoft Office suite and some experience with graphic design programs. Skills And Experiences • Certificate IV in Business Administration or relevant qualification. • Experience working in a school or vocational education setting. • Knowledge of RTO compliance and VET policies. • Current First Aid Certificate is desirable. Training will be provided if you do not currently hold this qualification.
