About the Role We are seeking a Project Administrator / Admin & Project Support Officer to join the Projects Team, supporting the successful delivery of high-quality commercial furniture and joinery fit-out projects across Australia. This is an office-based role with flexible start and finish times and direct engagement with both Sydney and Melbourne teams. You will play a key role in project administration, coordination, and documentation, working closely with project managers and operational teams to ensure projects are delivered accurately, on time, and to a high standard. Key Responsibilities Provide high-level administrative support to project managers and operational teams Assist project managers across all stages of commercial joinery and fit-out projects Maintain up-to-date project documentation, schedules, and version control Enter and track project data in Procore, Aconex, Simpel, Innergy, and other client systems Ensure architectural drawings are current and uploaded to correct platforms Create and manage registers (shop drawings, variations, samples, RFIs) Coordinate sample boards, orders, and approvals Prepare and distribute pre-construction documentation (SWMS, SMDs, insurance) Assist with quoting, invoicing, and other financial administration tasks Mark up floorplans and drawings with clear instructions for drafters Liaise with stakeholders to meet project deadlines and ensure smooth delivery Print and distribute site drawings to site managers and project teams Manage multiple projects and priorities simultaneously while maintaining accuracy Proactively problem-solve and take ownership of responsibilities and outcomes Who You Are People-focused, dynamic, and confident in taking ownership of responsibilities Strong organiser with exceptional attention to detail across documentation, schedules, and reporting Able to work autonomously with minimal supervision and meet deadlines in a fast-paced environment Excellent written and verbal communication skills, able to liaise across multiple stakeholders Adaptable, resourceful, and solutions-focused with a dynamic mindset Able to prioritise competing tasks effectively while maintaining accuracy Enjoys contributing to a positive team culture and balancing focus with fun Skills & Experience Minimum 1–2 years’ experience in administration or project coordination Prior experience in joinery, construction, or project-based environments highly regarded Alternatively, extensive, senior-level administrative experience supporting projects Strong proficiency in Microsoft Office, particularly Excel Familiarity with systems such as Procore, Aconex, Simpel, or Innergy Strong understanding of project workflows, documentation, and coordination processes HSC (or equivalent) with solid English and Maths results Salary, Culture & Benefits $70,000 – $90,000 per year (dependent on experience) Full-time, permanent role based in Sydney CBD with flexible hours Close-knit, professional, yet relaxed team of 9 with strong culture and collaboration Team lunches, social events, and regular bonding activities Genuine opportunities to learn, grow, and contribute to high-quality project delivery “Best place I’ve ever worked.
