We are currently seeking a Buyer's Administration Assistant to support our Children's Accessories Buying Team at Seed Heritage. This is an excellent opportunity for an organised and detail-oriented individual looking to build or grow a career in fashion buying within a fast-paced retail environment. Reporting to the Buying Manager for Children's Accessories, this role is responsible for raising and managing all purchase orders across the category while providing comprehensive administrative support to the buying team. You will play a key role in ensuring purchase order accuracy, supplier communication and smooth day-to-day operations. THE ROLE: Raise and issue all purchase orders for Children's Accessories across all regions, ensuring accuracy and timely submission Implement purchase order updates, including changes to shipping and delivery timelines Reissue updated purchase orders to suppliers as required Verify barcodes on swing tickets against D365 to ensure pricing accuracy Generate and review regular purchase order reports, ensuring delivery schedules remain current Identify and escalate discrepancies within systems or product details to prevent errors Communicate daily with suppliers to confirm purchase orders, track shipments and respond to queries Provide administrative support to the Buying Manager and Children's Accessories Buying Team Manage daily administration tasks including post, parcels, sample dispatches and supplier pick-ups Unpack incoming samples and distribute to relevant departments Maintain accurate and up-to-date style files, printing and distributing as required Conduct monthly checks to ensure products are uploaded to the Seed website one week after warehouse dispatch Manage product samples, including packing and sending to the warehouse for storage On-site role 5-days per week, based in our St Kilda Road offices. THE IDEAL CANDIDATE: A tertiary qualification or equivalent in Business Administration, Fashion Merchandising, Retail Management or a related field (preferred) Intermediate Excel skills are essential Experience working in a fast-paced environment is essential Fashion retail experience is desirable Previous experience in a similar buying administration role will be highly regarded Highly organised with the ability to manage multiple tasks and deadlines Strong attention to detail and accuracy Proactive and solution-focused with the ability to take initiative Clear and professional communicator with suppliers and internal stakeholders Collaborative team player who works effectively across departments Adaptable and comfortable working in a fast-paced environment with changing priorities WHY JOIN THE SEED HERITAGE TEAM?
